About the job
The ICRC Information Management Unit is excited to invite applications for the position of Assistant & Information Management (IM) Officer in our Kyiv office. In this vital position, you will manage our information management system, ensuring effective records acquisition and adherence to essential Information Security principles and ICRC rules on Personal Data Protection.
As the Assistant & IM Officer, you will be the go-to expert for a suite of standard information management tools, guiding the team on access rights, usage, and workflows. Your role will also involve providing high-level administrative support, ensuring that all official correspondence aligns with ICRC’s standard protocols and visual identity.

Your Tasks and Responsibilities
- Focus on delivering improved information management services by troubleshooting, monitoring, and optimizing digital archiving practices. Provide training and briefings to ensure all team members have the needed knowledge
- Actively participate in implementing various information management projects and tools, facilitating essential changes that enhance our operations
- Organize and streamline internal and external information exchanges to meet ICRC’s needs while adapting to technological advancements
- Oversee the effective use of collaborative tools and databases, ensuring they are utilized efficiently within the organization
- To support effective communication, draft, review, compile, edit, and finalize various documents, including correspondence, presentations, decision-making materials, and meeting minutes
- Recommend strategies that enhance the flow and sharing of information, leveraging available tools to improve accessibility and collaboration
- Share updates on information management practices with staff, ensuring that best practices are understood and implemented throughout the organization
- Assist all users with their information management inquiries while ensuring compliance with established rules and procedures
- Support onboarding new staff by delivering briefings on information management protocols and organizing relevant training sessions
- Foster awareness and adherence to ICRC rules regarding correspondence and protocol among all staff members

About you
To be successful as Assistant & Information Management Officer in the Information Management Unit, you should possess the following qualifications and experiences and have the following characteristics:
- Ukrainian citizenship or permanent residence permit in Ukraine
- University degree or equivalent training or experience
- Three or more years of experience as an assistant preferably in an international organization or company
- Professional fluency (written and spoken) in English and Ukrainian
- Advanced computer skills including Microsoft Office suite, SharePoint and others
- Self-motivated with a strong commitment to teamwork and humanitarian principles
- Flexible, enthusiastic, and willing to learn
- Ability to work independently, as well as effectively under supervision
- Ability to organize and prioritize multiple tasks
- Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
