Project Description: The FCDO commissioned NGO EDGE to implement the project "Supporting Adaptive Defence Reform - II" (SADR-II), building on the foundations laid by its predecessor programme. The project forms part of the UK government's broader commitment to strengthening defence governance and institutional resilience in partner countries, in line with FCDO's wider security sector reform objectives.
About the Work: The Finance and Administrative Officer will play a central role in ensuring the smooth operational functioning of the SADR-II project, providing robust financial management, day-to-day administrative support, and rigorous compliance with FCDO donor requirements, contributing to the effective delivery of project activities.
Key Responsibilities:
1) Financial Management
- Maintain accurate financial records in line with organisational and donor requirements
- Process invoices, payments, and supporting documentation
- Support budget compilation, expenditure monitoring, and burn rate analysis
- Assist in preparation of financial reports for internal and donor reporting
- Ensure proper filing and archiving of financial documentation
- Support audits and financial verification processes
2) Administrative Support
- Oversee office administration, including procurement of supplies and vendor coordination
- Maintain asset registers and inventory tracking
- Support contract administration (consultants, vendors, service providers)
- Ensure proper document management (SharePoint / internal systems)
3) Procurement and Compliance
- Support procurement processes in line with donor and internal procedures
- Collect and maintain quotations, bids, and procurement documentation
- Ensure compliance with value for money principles
- Assist with due diligence and vendor verification processes
4) Logistics and Operations
- Coordinate logistics for meetings, workshops, and events
- Arrange domestic and international travel (flights, accommodation, per diems)
- Support coordination across multiple project locations
Qualifications and Experience:
- Bachelor's degree in Finance, Accounting, Business Administration, or related field
- Minimum 3-5 years of relevant experience (NGO / donor-funded projects preferred)
- Experience with donor compliance (FCDO, EU, USAID or similar)
- Strong knowledge of financial procedures and documentation
- Experience with procurement and administrative processes
- Strong organisational and administrative skills
- Attention to detail and accuracy
- Ability to manage multiple tasks and deadlines
- Proficiency in MS Office (Excel, Word)
- Experience with financial systems / accounting software (advantage)
- Strong communication skills
