Position Summary
The Rehab4U Officer will provide support in the implementation of the Rehab4U Activity (the Activity) designed to create sustainable, quality physical rehabilitation services within the health system. The Rehab4U Officer is responsible for providing coordination and logistical support for program activities as needed for Momentum’s programming, building on ongoing country activities and accomplishments. Additionally, the Rehab4U Officer will support reporting, and collaborate with the Rehab4U Manager on collecting information on the Activity implementation status and monitoring the Activity work plans and timelines. The employee must be willing and able to work in Ukraine.

Expected Duties and Responsibilities
The Rehab4U Officer will work closely with the Rehab4U Manager to provide essential support in the implementation of the Rehab4U Activity and will be responsible for performing the following primary tasks:
Coordinate logistics for training and events and provide support for project procurements:
- Lead logistics for training and other in-country activities, including preparation of required materials
- Prepare agendas, participant lists, meeting minutes, and communication or other materials for events as required
- Support sourcing and procurement of project supplies as needed and in line with donor rules and regulations and MWH policies and procedures. Ensure procurement documentation is organized in the Box
- Record and report details to MWH on the program’s procurements and training
- Work in coordination with finance, technical, and operations staff to procure project supplies within the budgets
- Perform project-related tasks in a timely manner and in line with donor-approved work plans, organizational policies and procedures, and national and international standards
- Maintain the Objective Lead and Direct Line Manager meeting schedules, programs of the visits, and travel arrangements
- Review documentation for assigned program activity procurements, including venue, catering, vehicle, and other procurements
- Support the production of information and communications materials as needed
- Maintain electronic and paper filing systems ensuring all relevant project documentation is available and audit-ready at any time
Coordinate travel and facilitate stakeholder communication in response to programmatic and logistical needs:
- Facilitate travel arrangements for domestic and international project travelers as needed, including ground transportation, accommodations, and flights in compliance with the travel policy and documentation standards
- Review Rehab4U staff TRFs and other travel documentation for compliance and forward for approval
- Identify and respond to programmatic and logistical needs, including facility needs and information communication and technology questions
- Work to ensure compliance with donor regulations and funding parameters in all aspects of activity implementation
- Facilitate communication between relevant local and national agencies, institutions, NGOs, and other stakeholders to further project activities
Document and report on Ukraine project activities:
- Consolidate, contribute to, and review technical inputs for contractually obligated donor reports and project deliverables
- Produce a succinct monthly report that highlights significant accomplishments of duties during the reporting period, issues encountered, and proposed recommendations to address identified issues
- Provide information/responses to ad hoc reporting requests from donors or HQ as needed
- Regularly update the Direct Line Manager and Chief of Party/Deputy Chief of Party MWH HQ on program implementation progress against the work plan and indicators, suggesting necessary adjustments and addressing evolving issues
- Conduct end-of-month file audit for relevant procurement and program documentation
- Contribute to checklists and priority actions/delegation for kick-off and close-down
- Participate in MWH Ukraine team meetings
Minimum Qualifications
- Bachelor’s degree in a relevant field, including business administration, procurement, logistics, program management, or a related field
- At least two years of professional experience providing project-related logistical and administrative support in a team environment on international technical assistance projects
- Detail-oriented with good coordination, organization, and prioritization skills
- Demonstrate analytical and administrative skills, as well as resourcefulness and initiative
- Excellent computer skills with practical experience using Microsoft, Outlook, DropBox, and other computer applications
- Fluency in Ukrainian and English
- Excellent oral and written communication skills
- Excellent written organization and drafting skills
Preferred Qualifications
- Prior work experience with an international technical assistance implementer in Ukraine
- Understanding of national health systems for rehabilitation services and knowledge of Ukrainian health systems
- Interpretation experience in rehabilitation or medical environment is highly desired
