Polish Humanitarian Action (PAH) is an international non-governmental organization which since 1992 has been providing humanitarian and development help worldwide. So far, the interventions have been carried out in 46 different countries. By possessing long-standing expertise in the implementation of projects in Water, Sanitation and Hygiene, Food Security and Livelihoods, as well as Nutrition and Education, PAH concentrates its global activities on ensuring sustainable and stable development of regions suffering from the consequences of armed conflicts, natural disasters and other humanitarian crises.
PAH has been present in Ukraine since August 2014 delivering humanitarian aid to the most vulnerable of the conflict-affected population. PAH provides assistance to internally displaced people, elderly and single mothers, working in the sectors of food security protection and livelihoods. PAH Ukraine is currently expanding programming from humanitarian to both early recovery and development-oriented interventions that provide sustainable livelihoods opportunities to the affected population.

Program Management:
- Supporting Head of Programs (HoP) in planning coordination and implementation of a program and its activities.
- Contributing to the various needs assessments (NA) analyzing data incl. secondary data and drafting respective NA or other relevant reports.
- Supporting program team and sector leads with developing detailed work plans and budgets for the interventions, ensuring efficient and effective utilization of resources.
- In cooperation with Grants & Reporting team to ensure timely and efficient grant review process incl. kick-off meetings.
- Supporting Head of Programs in capacity building of program team members.
- In cooperation with the sector leads and other colleagues to ensure that all relevant SoPs and procedures are in place for programming.
- Supporting HoP in defining the common approach and standards of projects’ implementation and monitoring their coherent application across programs; ensuring the lessons learnt and recommendations from the MEAL department are incorporated into new/ongoing programs.
- Supporting Head of Programs with structuring and unifying various tools used by different sectors (e.g. databases, registration forms, referral forms etc.) and document storage approach along with setting up the communication flow within and outside the program team.
- Overseeing accurate, relevant, quality, and timely program documentation production & publication.
- Supporting Head of Programs Program budget development, implementation, and management (e.g. salaries, trainings, procurement, etc.).
Reporting and Communication:
- Contribute to timely and accurate reports for donors, government partners, and other stakeholders, highlighting program achievements, challenges, and lessons learned.
- Represent the organization in coordination forums, cluster meetings, and other relevant forums, including monitoring visits.
- Liaising and engaging with partners, representatives, authorities and other stakeholders.
Other tasks:
- Collaboration with relevant departments & units in identification & analysis of cost optimization as & when necessary.
- Cooperating with Information Management team to ensure proper program-related data management and reporting.
- Participating in project proposal development process incl. budget development.
- Other duties related to programs as assigned by the supervisor.
Program Coordinator will be selected based on the qualification requirements described below:
- Diploma in management, international relationship or other relevant fields;
- At least 1 year of work experience in international or local NGO;
- Excellent verbal and written communication skills in English (at least upper-intermediate level) and Ukrainian;
- Understanding of the context in Ukraine;
- Understanding of international humanitarian work;
- Good interpersonal skills;
- Good working knowledge of Microsoft Office and Google Apps;
- Good organizational skills and discretion with confidential information;
- Proven ability to handle challenging workload;
- Ability to work independently and proactively.
