About the job 

The ICRC Logistics Unit seeks a competent Medical Quality Assurance Officer to join our team in Kyiv. The Medical Quality Assurance Officer is responsible for developing and maintaining the Quality Management System (QMS) for the ICRC Logistics in Kyiv. This role involves ensuring the highest quality control and compliance standards in logistics operations. The offer will work closely with the Head Pharmacist and the Quality Assurance Pharmacists based in Geneva to implement and improve quality assurance processes across the ICRC.

Your Tasks and Responsibilities

• Design, implement, and maintain robust quality systems that include standard procedures, performance indicators, internal audits, training, change management, and corrective actions
• Ensure alignment with EU guidelines for good distribution practices of medicines, driving excellence across operations
• Provide expert guidance and collaborative support to Quality Assurance Pharmacists in Kyiv, fostering a culture of continuous improvement and shared success
• Take ownership of quality-related documentation by drafting, revising, and managing standard operating procedures (SOPs)
• Guide teams in crafting and implementing their SOPs while promoting a culture rooted in quality and precision
• Evaluate and decide on the acceptance or rejection of products following cold chain breakdowns, documenting incidents to uphold stringent quality standards and ensure patient safety
• Lead efforts to qualify and validate essential equipment and processes, ensuring seamless installation and optimal performance that meet international best practices
• Oversee quality risk management initiatives in Kyiv, ensuring compliance with international guidelines, identifying gaps in quality documentation, and setting new benchmarks for operational resilience
• Mentor and manage the Data and Compliance Pharmacist, cultivating a high-performing team committed to achieving exceptional results
• Conduct audits of distribution and manufacturing practices across covered countries, ensuring compliance with international quality standards and fostering cross-border excellence
• Validate pharmaceutical purchase tenders internationally and approve quality comparison tables for local procurements, ensuring the highest quality standards are met at every step
• Execute critical controls outlined in the Logistics Risk and Control Matrix, ensuring risks are effectively minimized and operations remain seamless and secure

About you

To be successful as a Medical Quality Assurance Officer in the Logistics Department you should possess the following qualifications and experiences and have the following characteristics:  

• Ukrainian citizenship or permanent residence permit in Ukraine
• Master’s degree in quality assurance and risk management, with good knowledge of medical supplies (medicines, medical devices, medical equipment, in vitro diagnostics (IVD) devices, personal protective equipment, etc.)
• Pharmacy or biology degree or equivalent an asset
• Minimum ten years’ overall professional experience
• Experience in assessments/audits  
• Experience in item selection for hospital practice; in-depth experience in the use of medical devices in a hospital environment and/or a quality assurance management background in a medical device/pharmaceutical industry 
• Experience working in an international context
• Very good command (written and oral) of English and Ukrainian
• Computer literacy
• Self-motivated with a strong commitment to teamwork and humanitarian principles
• Flexible, enthusiastic, and willing to learn
• Ability to work independently, as well as effectively under supervision
• Ability to organize and prioritize multiple tasks
• Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
