HR Admin (Contractor Specialist)

The Opportunity 

We are looking for an experienced HR Admin to support our HR team in Ukraine. You will act as the primary point of contact for all contract-related queries.

Qualifications 

Qualifications & experience:

• 2 - 3 years of experience in HR;
• 2 + years of experience with contracts management;
• Detail-oriented, adaptable, flexible, accurate and organized;
• Diligent and attentive to details;
• Team-oriented with a collaborative spirit;
• Excellent communication skills and the ability to thrive in a team-oriented environment;
• Ability to organize work, prioritize tasks, meet critical deadlines, and follow up on assignments with a minimum of direction;
• Experience with MS Office (Word, Excel, PowerPoint and Outlook);
• Experience with Gig contracts management;
• Experience with such systems as: Medoc, Vchasno, Pension Fund, Dynamics 365 Business Central;
• Upper-intermediate level of spoken and written English.

Responsibilities 

Contracts management:

• Staff records management (~17 people of staff): handle HR files, documents;
• Gig contracts management (~200): signing/terminating contracts, making changes to the contract, time tracking, sick leaves, maternity and other similar things;
• Systems to use: Medoc, Vchasno, Pension Fund, Dynamics 365 Business Central;
• Working with the legal team to update the contract templates based on the changes in the law;
• NDA signing, supporting signing contracts via DocuSign with the external contractors or vendors (on request); 
• Support with reference requests: respond to reference check requests, and prepare and sign the papers via Vchasno.

Booking from mobilization:

• Coordinating booking from the mobilization process via Diia.

Internal systems:

• Handle internal systems: enrolling newcomers into the systems, keeping internal crew data up-to-date (on request), adjusting absence leave, preparing reports on absence leave or other reports relevant to the area of expertise.
