arche noVa - Initiative for People in Need is a religiously independent non-profit, non-governmental organisation (NGO) based in Dresden, Germany, working in the field of humanitarian aid, rehabilitation and development. Since 2016, arche noVa has been active in Ukraine, supporting the affected population in Donetska and Luhanska oblasts. With the full-scale war outbreak in February 2022, arche noVa has expanded its relief program in Ukraine, responding to the unprecedented humanitarian crisis. The war has shown no signs of abating and continues to drive increasing humanitarian needs across the country, affecting all spheres of life and uprooting millions of Ukrainians. It has resulted in civilian casualties that continue to grow and significant damage to infrastructure.
For the implementation of the arche noVa`s relief measures in Ukraine, we are looking for an HR, Administration & Finance Officer (national position)
Position to be filled: asap
Duty station: city of Kyiv
Contract: labour, with one months of a probation period
Duration: 12 month with the possibility of an extention
Position Summary
Under the direct supervision of the Head of Operations, the HR, Administration & Finance Officer will be assisting the implementation of the arche noVa programme in Ukraine in terms of finance, administration and HR-related issues.
Key Responsibilities
- Managing recruitment and onboarding processes, including shortlisting candidates, conducting interviews, and facilitating the hiring process
- Developing and implementing HR policies and procedures in compliance with ache noVa internal regulations, donors' guidelines and respective Ukrainian legislation
- Maintaining accurate records of employees` personal files and other HR-related documentation, including the preparation of contracts, job descriptions, leave tracking, etc.
- Assisting in managing and conducting training and development initiatives for the team members
- Overseeing administrative issues, such as arranging meetings and preparing minutes, handling correspondence, basic translation of document, etc.
- Contributing to the organisation of online and offline events, preparing and distributing invitations and agendas, etc.
- Ensuring the availability of necessary offices supplies for their smooth operation
- Collecting and reviewing finance supporting documents for completeness and accuracy, preparing payment vouchers for review and approval
- Copying, scanning, filing and maintaining accounting and finance records, reports and other documents in a proper and sequential manner
- Performing other relevant duties as and when required
Requirements
- Diploma/certificate in administration, HR, finance or other relevant field
- At least 2 years of demonstrated relevant experience
- Experience with humanitarian NGOs/INGOs in the Ukrainian context is an advantage
- Good communication, networking and interpersonal skills
- Good command of Ukrainian and English (both written and spoken) is mandatory
- Ability to work both independently and in a team
- Strong computer skills, particularly in MS Office (Word, Excel, PowerPoint etc.)
- Strong self-organisational skills
- Ability to work under stress and in a changing environment
