ActionAid’s Regional Office for Eastern Europe was established in Kyiv in 2022 and is covering projects in Ukraine, Romania, Poland, Moldova and Georgia. ActionAid works through a wide range of national & local partner organisations in the nexus, prioritising young people’s leadership, civil society development, women’s rights and leadership, the protection of at-risk groups and minorities, as well as humanitarian assistance.
Role Overview
The Senior Projects Support Officer is based in Kyiv and supports the Project Development & Partnerships Coordinator across proposal development and partnership management, as well as provides hands-on support and project management, working in close coordination with the Programs Department and Technical Leads. A dotted reporting line to the Protection & GBV Coordinator who ensures protection considerations are reflected across the post-holder’s work.
1. Partnership Management Support (35%)
- Act as a day-to-day point of contact for partner organisations on routine requests, follow-ups, and documentation.
- Implement partner Due Diligence and capacity assessments, in cooperation with the line manager.
- Assist in the drafting and follow-up of partnership agreements (MoUs, sub-grant agreements) under the guidance of the line manager.
- Help organise partnership review meetings, take minutes, and follow up on agreed actions.
2. Proposal Development Support (20%)
- Contribute to the drafting of concept notes, proposals, logframes, narratives, and budgets, gathering inputs from internal teams and partners.
- Conduct background research, donor mapping, and basic stakeholder analysis to inform proposal design.
- Maintain the proposals and grants tracker.
3. Project Implementation Support (30%)
- Support the day-to-day implementation of selected smaller-scale projects, tracking activities, deliverables, and timelines.
- Help prepare and update project workplans, monitoring schedules, and basic spending tracking, in coordination with finance and MEAL.
- Assist project teams and partners in flagging risks, delays, or compliance issues to the line manager.
- Coordinate closely with the Protection & GBV Coordinator and other Technical Leads to reflect protection and quality considerations in projects.
- Contribute and lead, when necessary, internal and donor narrative reporting and conduct field visits to support implementation and capture lessons learned.
4. Other Tasks (15%)
- Support the organisation of partner consultations, workshops, and validation meetings (logistics, agendas, minutes).
- Support the organisation with presence and representation at relevant events, workshops, and conferences.
- Translate documents and meeting content between English and Ukrainian as required.
- Promote and uphold the organisation’s ethics, safeguarding, code of conduct, feminist values and rights-based approaches in all interactions.
Key Competencies and Qualifications
Essential
- Bachelor’s degree in social or political sciences, international development, humanitarian affairs, law, or a related field.
- 2-3 years of relevant experience in project support/management, partnerships, or programme coordination roles, preferably in the humanitarian or development sector.
- Experience contributing to donor proposals and reports.
- Experience working with civil society partners or local NGOs.
- Strong organisational skills and attention to detail; ability to manage multiple tasks under tight deadlines.
- Excellent written and spoken English and Ukrainian.
- Proficiency in MS Office (Word, Excel, PowerPoint).
Strong asset
- Demonstrated experience and training in protection (general protection, GBV, child protection, case management, or protection mainstreaming), women’s rights/gender equality, and/or social movements, particularly with feminist and intersectional approaches.
- Familiarity with major institutional donors (e.g., ECHO, EU, UN agencies, development agencies).
- Familiarity with Ukrainian public registries and verification tools (e.g., YouControl, Opendatabot).
- Experience in the Ukrainian humanitarian or development context.
