Information Management Officer/Фахівець з питань управління інформацією

Polish Humanitarian Action (PAH) is looking for an Information Management Officer with a duty station in Kyiv, Ukraine, to strengthen its information management and undertake IM duties within the projects implemented by PAH. The IM Officer will harmonize the system of data collection, processing, storing and analysis by providing technical input and support on information management to field and other relevant teams as requested/required as well as by producing high-quality IM products for reporting and advocacy.

Polish Humanitarian Action (PAH) is an international non-governmental organization which since 1992 has been providing humanitarian and development help worldwide. So far, the interventions have been carried out in 46 different countries. By possessing long-standing expertise in the implementation of projects in Water, Sanitation and Hygiene, Food Security and Livelihoods, as well as Nutrition and Education, PAH concentrates its global activities on ensuring sustainable and stable development of regions suffering from the consequences of armed conflicts, natural disasters and other humanitarian crises.

PAH has been present in Ukraine since August 2014 delivering humanitarian aid to the most vulnerable of the conflict-affected population. PAH provides assistance to internally displaced people, elderly and single mothers, working in the sectors of food security protection and livelihoods. PAH Ukraine is currently expanding programming from humanitarian to both early recovery and development-oriented interventions that provide sustainable livelihoods opportunities to the affected population.

Key Duties and Responsibilities

  • Support the design, development, and maintenance of information management (IM) systems, including databases, data collection tools, and reporting templates used to track program implementation and results.
  • Maintain and update existing data management systems to ensure accurate and timely data capture from program teams and partners.
  • Compile, clean, and validate program data received from field teams, partners, and digital data collection systems.
  • Conduct routine data quality checks to ensure completeness, consistency, and reliability of data prior to analysis and reporting.
  • Support verification of sources of information and maintain documentation of data sources and methodologies.
  • Produce, maintain and update regular information products including dashboards, charts, tables, maps, and analytical summaries to support program monitoring and decision-making.
  • Contribute to the preparation of internal and external reports by generating data visualizations and analytical outputs.
  • Support the dissemination of reports, situation updates, and analytical outputs to relevant stakeholders when required.
  • Maintain organized documentation and archiving of IM products, datasets, and reports.
  • Provide day-to-day technical support to program staff and partners on data collection tools and reporting templates.
  • Assist in delivering training or guidance on the use of digital data collection platforms, data entry procedures, and data management practices.
  • Ensure that all data collected, stored, and shared is handled in accordance with organizational data protection policies and relevant international standards (e.g., GDPR and humanitarian data responsibility principles).
  • Support implementation of IM standard operating procedures and documentation.
  • Support the IM / MEAL Manager and IM Coordinator in improving organizational IM practices and workflows.

Qualifications and Experience

  • University degree in Information Management, Statistics, Information Systems, Computer Science, Social Sciences, or a related field.
  • At least 2–3 years of professional experience in information management, data management, monitoring and evaluation, or a related technical field.
  • Experience managing datasets, including data cleaning, validation, and processing.
  • Basic understanding of relational databases and data management principles.
  • Demonstrated experience with data analysis and visualization tools such as Power BI, Tableau, GIS software (e.g., QGIS or ArcGIS), or similar platforms. Strong advanced Excel skills including pivot tables, lookups, and data cleaning functions.
  • Knowledge of and practical skills with Python are an asset.
  • Familiarity with digital data collection tools (e.g., KoboToolbox, ODK, SurveyCTO) is an asset. 
  • Experience working in humanitarian or development contexts is considered an asset.
  • Professional proficiency in English is required.
