Position: HR Manager
Duty station: Kyiv with potential field visits within Ukraine and abroad
Reporting to: Country Director
Contract Type: Full time
Key Responsibilities:
1. Human Resource Management:
- Develop, update, and enforce HR policies and procedures, ensuring they align with organizational goals and local labor laws.
- Maintain and regularly update personnel records (physical and digital), ensuring compliance with data protection regulations.
- Oversee the preparation of employment contracts, amendments, work certificates, and related documents.
- Ensure timely performance evaluations and necessary contract amendments for staff.
- Support continuous improvement of HR systems and policies based on best practices.
- Monitor and report on updates to Ukrainian labor laws relevant to HR management.
2. Recruitment and Onboarding:
- Manage end-to-end recruitment processes, including job postings, application reviews, interviews, and hiring decisions.
- Ensure recruitment processes adhere to humedica’s standards, prioritizing transparency and efficiency.
- Organize and conduct comprehensive onboarding and scheduled onboarding for new staff.
- Collaborate with department heads to assess staffing needs and develop recruitment strategies.
3. Administrative Support:
- Assist with HR-related documentation required for tax offices, social protection, and other regulatory bodies, including military accounting management.
- Support staff with administrative needs, such as leave requests, resignation letters, and travel documentation.
- Maintain compliance with employment-related documentation and processes.
4. Human Resource Information System (HRIS):
- Maintain and update HR system records, ensuring accuracy and timeliness.
- Train staff on the use of HR systems and e-learning platforms.
- Monitor probation periods, ensuring evaluations are conducted on time.
5. Employee Relations:
- Act as a point of contact for employee grievances, fostering a supportive and professional work environment.
- Facilitate conflict resolution and support disciplinary procedures when necessary.
- Conduct exit interviews, analyze feedback, and provide actionable recommendations to management.
6. Capacity Development and Evaluation:
- Oversee staff performance evaluation processes and link outcomes to development plans, training, and promotions.
- Identify capacity development needs and collaborate with external service providers for training, mentoring, and coaching opportunities.
- Promote a culture of continuous learning and professional growth.
Qualifications and Skills:
- Essential: A minimum of 2 years of experience in HR management, preferably within a non-governmental or international organization.
- Strong understanding of HR policies, recruitment practices, and labor laws in Ukraine.
- Proficiency in HR management software and MS Office Suite.
- Fluency in Ukrainian, with a working knowledge of English (Intermediate level or above).
- Excellent organizational and time-management skills, with the ability to handle multiple priorities.
- Desirable: Experience with HR systems implementation and management.
- Proven ability to work collaboratively in diverse, multicultural teams.
- Understanding of safeguarding, gender equality, and inclusion practices in HR management.
