POSITION PROFILE

Main tasks

  • Projects Registration and VAT Exemption Process 
  • Lead the process of registering projects with the Government of Ukraine; 
  • Support the process of signature of Memorandum of Understanding (MoU) with oblast authorities and other relevant stakeholders;
  • Lead the process of value-added tax (VAT) exemption under Government of Ukraine Cabinet Resolution 153.


  • Archiving and digitalization
  • Support the update of an offline archiving system for the Project Development team;
  • Ensure the digitalization of all Project Development-related offline documents;
  • Properly file contractual project documents both in hard and soft copies and ensure that Project Development Department files, both hard and soft copies, are always up to date;
  • Support the regular update of the online SharePoint Project Development folder.
  • Data processing and dissemination
  • Support the Communication team with data inputs for internal and external communication;
  • Follow up and ensure inputs are gathered from relevant departments to internal tools (such as Project Management Frameworks, Indicator Tracking Tables, etc.)

 

  • Translation
  • Support the Project Development team with the translation of key internal documents; 
  • Support the Project Development department in conducting induction sessions for new Acted staff and ad hoc trainings.

 

  • Fundraising
  • Regularly update an internal directory of donors, international and local NGOs, other partners and stakeholders;
  • In the absence of the Project Development Manager or other senior colleagues, take minutes in key clusters and working group meetings.
  • Support the development of fundraising documents (be it expression of Interests/ Concept Notes/ Proposals) in line with Acted country strategy and donor requirements, with the support of other Project Development team members.
  • Grant Management
  • Ensure that contractual obligations (including visibility requirements) and reporting deadlines are known and met by Acted Programme, MEAL and FLATS teams;
  • Support the organization of kick-off and close out meetings for each project and take minutes;
  • Write quality narrative reports, reflecting the progress and status of projects in a transparent, timely and professional manner, in liaison with Acted HQ Grants Management and Finance Units, which will ultimately contribute to steady cash inflow;
  • Work in close collaboration with MEAL to incorporate data on input, process, output, outcome and impact indicators, lessons learnt and best practices in reports and ensure consistency of MEAL reports with PD and programme reports;
  • Liaise with FLATS teams when preparing reports, especially with finance and logistics to ensure greater coherence between financial, logistics and narrative reports by crosschecking data.

Required professional qualities

  • University degree in Law, International Relations or other relevant fields (political science, anthropology, sociology, linguistics etc.);
  • Proficiency in written and spoken English and Ukrainian;
  • Strong writing and analytical skills, ability to present information clearly and concisely;
  • Competency in all web-based software, including Word, Excel, and PowerPoint is strongly desirable. 

Required personal qualities

  • Interest and knowledge in humanitarian and development fields is an advantage. Previous experience working in an international/national NGO would be an asset;
  • Developing and promoting effective collaboration within and across the departments to achieve shared goals and optimize results is essential;
  • Diplomacy and good communication skills is required for all interactions with project beneficiaries, Acted staff and other project stakeholders;
  • Flexibility and adaptability are essential, as well as the ability to plan, take initiative and organize work independently;
  • Willingness to learn and capacity to innovate. The Project Development Assistant must be proactive and eager to improve his/her own skills, and be capable to adapt, shape and develop tools best suited for Acted’s activities.
