Polish Humanitarian Action (PAH) is looking for a Finance Coordinator to support finance and budgeting operations for donor-funded humanitarian programs in conflict-affected areas of Ukraine.

Type of job: 3-month service contract, convertible to employment contract

Operating in Ukraine since August 2014, PAH is uniquely positioned with a wide network of partners and donors to deliver humanitarian aid to the most vulnerable conflict-affected people during this crisis. PAH provides assistance to internally displaced people and the elderly and single mothers, working in the sectors of Protection/Advocacy, WASH, Food Security/MCPA, Shelter/NFI and MHPSS. PAH Ukraine is rapidly expanding its operations in response to the armed conflict and seeks dynamic candidates comfortable with a fast-changing environment who are eager to scale operations quickly.

Key Duties and Responsibilities

  • Monitoring project budget realization using available tools (Navision software, Excel, etc)

  • Preparing Budget Monitoring tools in Excel for new projects

  • Verifying costs in terms of nature of expenditure, description, legibility and approving allocation of costs to the project. Supporting Mission accountants in this respect.  Preparing information for booking costs in Mission’s software (Navision)

  • Participating in the allocation procedure: updating projects basket, verifying and accepting allocation files.    Preparing Salary file with allocation between projects

  • Cooperating with the Project Coordinators in preparing monthly cash flow data

  • Running periodical financial reports according to PAH and donor requirements

  • Participating in preparation of new budget/budget revision in collaboration with the Project Coordinators

  • Participating in preparation of mission budget in long-term and short-term prospective

  • Facilitating all audit processes in the mission and ensuring all audit issues are followed up and resolved to a final conclusion

  • Following up on donors/partners/vendors/coordinators/staff issues and ensuring they are addressed in a timely manner, in collaboration with the Project Coordinators, Operational Department on the Mission and Financial Desk in HQ

  • Performing any other duties as directed and instructed by supervisor

The successful candidate will be selected based on the qualification requirements described below:

  • Diploma in finance/accounting/economics or other relevant field

  • Strong financial background and experience in relevant positions (Finance Manager/Coordinator) preferably in non-government sector

  • At least 3 years of experience in managing financial processes under dynamic and challenging operating environments

  • Proven experience in financial management at different levels (main office, field office, HQ)

  • Good understanding of accounting and finance procedures is a must

  • Experience in requirements & compliance management

  • Proven ability to manage a complex and demanding workload

  • Highly developed cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures

  • Results orientation, strong organizational and problem solving skills

  • Highly developed interpersonal and communication skills

  • Excellent spoken and written English, ability to communicate with all stakeholders including donors. Written and spoken Ukrainian

  • Very good knowledge of Microsoft Office tools, promoted user of Excel (the candidates will pass a test)

  • Knowledge of Microsoft Dynamics NAV (Navision) will be an asset.
