This job description defines the functional duties, requirements and responsibilities of the Payroll Accountant

Job functions/responsibilities:

  • Prepare payroll calculation, which based on information provided by the client, verification of the calculation, accounting of accruals (hospital, vacation, compensation, bonuses, etc.), reconciliation with time sheets, creation of payroll transactions, approval, communication
  • Calculation of additional benefits (gifts, insurance, food, etc.), display of data in reporting
  • Preparation of payment documents for the transfer of taxes and funds to employees of the organization to current and card accounts, control of the correctness of budget accounts for the transfer of taxes
  • Preparation of GL files for the accounting system (if necessary)
  • Submission of reports to regulatory authorities/Client company (including executive services for maintenance and alimony), submission of applications, notifications of payments to the FSS based on sick leave
  • Control of work performance by junior accountants
  • Opening salary accounts for employees, communication with bank representatives, solving non-typical issues
  • Preparation and distribution of payslips (electronic/paper form), consultation of employees on issues of calculation and payment of payroll, preparation of certificates on request, additional consultations of employees on request
  • Reconciliation of cash balances according to calculations with employees at the end of the month between the Client-Bank and 1c systems, reconciliation of accrued and remitted taxes with the payer’s electronic account
  • Participation in tax, audit and PFU audits
  • Control over the maintenance of external and internal original documents in accordance with the established record keeping system
  • Control of internal processes and quality of work, assistance in resolving atypical situations
  • Tracking changes to Ukrainian legislation on wages and taxation
  • Testing and setting up accounting programs, participation in automation, direct work with a technical specialist
  • Initiation of changes in accounting systems in connection with changes in legislation or calculation methodology, automation of processes and improvement of work efficiency
  • Participation in meetings with clients, discussion of cooperation issues, consulting
  • Active participation in the setups of clients' companies, setting up work processes at the initial stage
  • Implementation of internal procedures and tasks set by management
  • Replace of a junior payroll accountant as needed (absence due to vacation, illness, etc.)

Technical Skills/Special Skills:

  • Knowledge of the principles of accounting and tax accounting
  • Experience with payroll software packages, word processing systems, electronic spreadsheets and databases (Word, Excel, accounting and human resources (Appendix 1C of various configurations), client-bank, MeeDoc/Fredo, taxpayer’s electronic office, etc.)
  • English level Pre-Intermediate, Intermediate
  • Fluency in the Ukrainian language
  • Effective and high-quality cooperation with clients and colleagues (written and oral communication)
  • Compliance with data confidentiality
  • Compliance with deadlines
  • High level of responsibility
  • Multitasking and the ability to set priorities, highlight the most important·
  • Verbal and written communication skills (business correspondence skills), interpersonal communication and development skills

Professional qualification:

  • Relevant education (at least 4 years of study in the field of economics or accounting/auditing)
  • At least 2 years of practical experience with payroll and legislation, payroll forms and methods, document management in the areas of payroll, document requirements for payroll accounting accounts
  • Experience with outsourced payroll and HR services would be an advantage
