About the Role:

We are looking for a dedicated and detail-oriented Administrative Coordinator specialist to join our team. This role is essential in ensuring the smooth operation of administrative tasks, customer support, and knowledge base development. The ideal candidate will be highly organized, proactive, and capable of managing multiple responsibilities efficiently.

Key Responsibilities:

  • Oversee and manage company-wide calendars to ensure efficient scheduling and coordination of meetings and events, ensuring timely responses and proper prioritization of messages;
  • Organize and coordinate team-building activities, company trips, and birthday presents and emails to foster a positive and collaborative work environment;
  • Provide administrative assistance for Galaxy Vets leadership team;
  • Take part in Onboarding/Offboarding processes
  • Manage UA fund expenses, controlling and reporting;
  • Extend subscriptions for different software
  • Respond to customer inquiries within the Helpdesk tool, providing appropriate solutions to maintain high customer satisfaction and escalating cases when necessary. Assist customers in adapting to the solutions we offer, ensuring a smooth and positive experience.
  • Research, outline, create, and edit new and existing content, working closely with various departments to understand project requirements.
  • Handle administrative requests and queries from the leadership team appropriately;
  • Collaborate with different divisions on operations projects and tasks.

What you’ll need to succeed: 

  • Proven experience as an Executive Administrative Assistant or other relevant administrative support experience;
  • Proficiency in English;
  • High-level verbal and written communication skills;
  • Exemplary planning and time management skills;
  • Ability to multitask and prioritize daily workload;
  • Accuracy and attention to detail;
  • Ability to deliver quality work on tight deadlines;
  • Highly collaborative work style, able to work well with all other teams.

What you’ll need to thrive 

  • Experience with Project Management Software, Knowledge Base Software;
  • Experience working with the North American segment;
  • Ability to adapt and quickly change direction when necessary in a fast-paced, dynamic environment.

  • A full-time remote position which will require availability to work 40 hours per week;
  • Follow the evening schedule (2 PM - 11 PM) and US holiday calendar;
