Team Leader Event, Travel, Office Management and IT (full-time, Kyiv)

The Team Leader IT, Event, Travel and Office Management will join the Cluster Management Unit in the Good Multi-Level Governance Cluster (“MLG Cluster”) of GIZ Ukraine.
Good Multi-Level Governance Cluster within the Ukraine portfolio of GIZ comprises projects supporting transparent, efficient, and sustainable governance reform in the restoration efforts already going on in the war -stricken country, shaping its future as a modern European nation. The projects cater to an effective collaboration of the national, regional, and local levels of administration, promoting subsidiarity as a principle of democracy, as Ukraine aligns with the acquis Communautaire of the European Union.
The Cluster Management Unit (CMU) and its approximately 40 employees provide commercial and administrative services for the projects in MLG Cluster. The CMU is organized into three teams (Finance and Accounting; Contracts and Procurement; Events, Travel and Office Management, IT); your task is to lead the “Events, Travel and Office Management, IT” team, which currently has 15 employees.
Areas of responsibilities:
- Leading the "Events, Travel and Office Management, IT" team in accordance with GIZ’ management principles and guidelines to promote a sense of corporate identity, enable employees to carry out tasks independently, and create scope for creativity and innovation.
- Ensuring professional office management, services for event logistics, travel management and IT according to GIZ standards.
- Taking ownership for the office (2 floors, 2500 sqm, open space office) incl. management and coordination of all related tasks (maintenance, repair and improvements, procurement of all relevant office items, management of lease agreements, coordination of facility management, reception, cleaning of the premises, coordination of the driver).
- Strategical and operational development and adjustment of processes for the tasks of the team.
- Management of fixed assets and related processes.
- Advising managers and staff on processes relating to the responsibilities of the team.
- Providing internal and external networking with the different stakeholder (GIZ headquarters, country office Ukraine, projects in other clusters, etc.).
- Being an active part of CMU Management Team (Team Leaders and Head of CMU), developing ideas for CMU and MLG Cluster, common strategic decisions and management of implementation
- Performing other duties and tasks at the request of management.
Required qualifications, experience and competences:
- Master’s degree or equivalent in business administration, economics, law or similar area.
- 6 years professional experience in a relevant field; first management experience desired.
- Team player with excellent intercultural competences.
- Strong communication, organizational and coordination skills.
- Hands-on attitude with an innovative, structured and precise way of working.
- Service-oriented; able to build and maintain relationships with colleagues/clients.
- High standards of confidentiality, integrity and loyalty.
- Excellent working knowledge of ITC technologies (Microsoft 365 platform) and SAP.
- Native in Ukrainian; excellent command of English Language; basic knowledge of German Language is an asset.

Employment conditions
Full-time position with 40-hours working week. The assignment starts as soon as possible. Place of duty: Kyiv. The contract duration is until 30.06.2025. We are currently offering a short-term contract for this position, as new agreements are in the process of being finalized. We anticipate transitioning to a long-term arrangement once these agreements are secured.
