humedica e.V., a well-established German humanitarian organization with over four decades of experience, has been actively involved in Ukraine for more than 10 years. Since the beginning of the war in 2022, humedica has significantly expanded its operations to address the pressing needs arising from the crisis. Specializing in intervention within the health sector, but also involved in food, water, sanitation, and shelter sectors, humedica is committed to providing comprehensive relief to those affected by the conflict.

DESCRIPTION
Finance Manager will be coordinating and ensuring the high-quality implementation of all financial activities in of the country office in Ukraine finance department, as well as ensuring timely reporting and compliance with donor rules and regulations. She/He will also provide management support in the administration of the financial and physical resources, implementation of internal controls and the general accepted principles of international accounting and active participation in the budgeting processes for current and new projects/programs.
Responsibilities
General Management and Leadership:
- Collaborate with internal and external stakeholders, including donors, finance staff, and project managers, to ensure efficient financial operations for humedica.
- Develop and implement on-the-job training for team members to enhance their understanding of financial responsibilities.
- Support senior management in shaping financial and disaster response strategies.
- Supervise, mentor, and train finance department staff to maintain smooth transitions and improve practices.
Financial Management:
- Oversee financial operations, including accounting, payroll, banking, procurement, and subcontracting for humedica.
- Develop and monitor budgets, ensuring alignment with organizational and donor requirements.
- Analyze financial data and create reports to support decision-making.
- Manage cash flow, bank transactions, and reconciliations to optimize financial efficiency.
- Ensure compliance with local laws, donor regulations, and humedica policies.
- Supervise expenditure tracking, donor-specific reporting, and audit preparations.
- Manage vendor and consultant agreements, ensuring timely payments and proper documentation.
- Implement and oversee an ERP system to streamline financial and operational processes (e.g., SAP, Oracle NetSuite, Microsoft Dynamics, or similar).
- Demonstrate overall knowledge of Ukrainian financial reporting tools and systems, such as M.E.Doc, Вчасно, BAF.
Administrative Support:
- Collaborate with HR to plan and recruit finance staff for humedica.
- Establish procurement and administrative procedures to streamline operations.
- Maintain a robust filing system for financial records and documentation.
Program Development and Planning:
- Assist in drafting project proposals and mission budgets in compliance with donor guidelines.
- Identify funding sources and ensure the alignment of financial planning with humedica's organizational goals.
Project Management and Implementation:
- Prepare and analyze financial statements and reports, ensuring compliance with donor and legal standards.
- Support field teams by reviewing financial procedures and resolving variances in budgets.
- Travel to project locations as needed to provide financial guidance and ensure operational efficiency.
Representation and Compliance:
- Represent humedica in financial and administrative discussions with donors, partners, and stakeholders.
- Engage with stakeholders on audits, procurement, and other compliance-related activities.
Other Duties:
- Perform additional tasks as assigned by the humedica Country Director or senior management.
Reporting to:
- Country Director humedica e.V in Ukraine
- HQ Team Leader Project Finance (exclusively for project finance and reporting)
Qualifications, Experience and Competencies
- A 4-year degree or diploma in accounting, finance and/or bookkeeping,
- Min 2-4 years’ work experience with donor funding.
- Proficiency with national accounting systems
- Good excel skills
- Prior working knowledge for an international organization and/or donor-funded organisations
- Strong written and oral communication skills
- Sound organization and planning abilities
- Excellent attention to detail, accuracy, and problem-solving skills
- Good interpersonal skills and the ability to develop strong working relationship at all levels of management
- Demonstrated ability to work independently, as well as part of a team
- Deep and genuine commitment to humanitarian principles.
- at least Upper-Intermediate in English, knowledge of German would be an advantage
Period of contract:
The successful candidate will be offered an initial contract until 30 June 2026.
