arche noVa - Initiative for People in Need is a religiously independent non-profit, non-governmental organisation (NGO) based in Dresden, Germany, working in the field of humanitarian aid, rehabilitation and development. Our primary focus is Water, Sanitation and Hygiene (WASH). Further information about the organisation: www.arche-nova.org

Since 2016, arche noVa has been active in Ukraine, supporting the affected population in Donetska and Luhanska oblasts. With the full-scale war outbreak in February 2022, arche noVa has expanded its relief program in Ukraine, responding to the unprecedented humanitarian crisis. The war has shown no signs of abating and continues to drive increasing humanitarian needs across the country, affecting all spheres of life and uprooting millions of Ukrainians. It has resulted in civilian casualties that continue to grow and significant damage to infrastructure. 

For the implementation of the arche noVa`s relief measures in Ukraine, we are looking for a Project Coordinator (national position)

 

Duration: until the 31th of October 2025, with the possibility of an extension

Position to be filled: asap

Duty station: city of Mykolaiv, with regular field trips within Mykolaivska and Khersonska oblasts

Contract: labour, with two months of a probation period 

 

Position Summary

Under the direct supervision of the Programme & Partnership Manager, the Project Coordinator will be responsible for the smooth and effective implementation of one of the arche noVa`s relief projects in Ukraine. For that purpose, the position holder will work closely with local implementing partners.

Key Responsibilities

  • Overall overseeing the implementation of a relief project in the framework of arche noVa`s humanitarian response in Ukraine
  • Running the arche noVa field office in Mykolaiv and managing the project team
  • Ensuring project-related objectives are met in full and in a timely manner 
  • Following up and addressing issues that might emerge during the project implementation and adjusting the project work plan if necessary
  • Serving as the organisation`s focal point with selected implementing partners throughout the project lifecycle to guide its implementation, ensuring compliance with donor`s and arche noVa`s regulations and requirements
  • Developing and reinforcing working relations with relevant authorities at the Oblast and community levels as well as other stakeholders, e.g. business entities, community-based organisations, volunteers and active citizens
  • Seeking, coordinating, and overseeing the implementing partners’ capacity-building activities, e.g., training, workshops, awareness sessions, etc.
  • Supporting selected implementing partners in the project implementation, ensuring compliance with the high standards of humanitarian aid.
  • Ensuring proper maintenance and updating partners` project files, including plans, trackers, beneficiary data etc.
  • Ensuring timely preparation and completion of the implementing partners' payment instalments
  • Working closely with the Monitoring & Evaluation Coordinator to consolidate and analyse data provided by implementing partners to both influence decision-making and contribute to reports to the arche noVa HQ and the donor
  • Attending relevant Clusters` and general coordination meetings and ensuring that information is internally shared 
  • Performing other relevant duties as and when required

Requirements

  • Diploma/certificate in Social Science, Economics, Development or other relevant areas is mandatory
  • Diploma/Certificate in Civil Engineering will be an advantage
  • At least 2 years of demonstrated relevant experience, including experience with humanitarian NGOs/INGOs in the Ukrainian context
  • Excellent communication, networking, interpersonal and representational skills
  • Readiness to travel regularly to the project sites (Mykolaivska and Khersonska oblasts)
  • Good command of Ukrainian and English (both written and spoken) is mandatory
  • Ability to work independently but also in a team, including coordination
  • Strong computer skills, particularly in MS Office (Word, Excel, PowerPoint etc.) 
  • Strong self-organisational skills
  • Ability to work under stress and in a changing environment
