? Personal Assistant to Founder (Global Lifestyle & Operations)
About the Role
We are looking for a highly organized, proactive, and resourceful Personal Assistant to support a fast-moving global founder. You will manage logistics, travel, experiences, events, content coordination, fitness routines, meals, and health operations across multiple countries.
This is a high-trust, dynamic lifestyle & operations role where you help keep systems running smoothly while enabling the founder to stay focused on building the company.
Key Responsibilities
1. Travel Planning & Logistics
- Research & book flights, hotels, villas, trains, ferries, buses
- Rent cars/scooters, book drivers & airport transfers
- Optimize for best price ? value ? convenience
- Manage visas, customs forms, insurance, eSIMs
- Prepare “new city” checklists: gyms, courts, trainers, restaurants, essentials
- Maintain travel calendars & logistics
2. Content & Social Media Coordination
(Light operational support — not full SMM)
- Coordinate with video/photo editors
- Create simple briefs for freelancers
- Light editing (optional)
- Organize content folders and assets
- Assist with posting schedules and uploads
3. Experiences, Activities & Lifestyle Planning
- Organize helicopter flights, skydiving, surfing, paddle, diving
- Book massages, spas, saunas, wellness sessions
- Plan creative activities and local experiences
- Research and propose top spots in each city
4. Community & Event Organization
- Organize private gatherings, dinners, meetups, and small events
- Manage guest lists and RSVPs
- Coordinate logistics: venues, supplies, layouts, themes
- Build and maintain community lists across cities
- Help create a consistent experience environment for recurring events
5. Health Tracking & Medical Coordination
- Track supplements, calories, hydration, symptoms
- Schedule and manage:
- doctor visits
- lab tests
- physio/dentist/ENT appointments
- Maintain location-specific healthcare directories
- Monitor travel health requirements and vaccines
6. Meals, Nutrition & Delivery Automation
- Set up meal delivery routines in every city
- Create 2–3 go-to healthy meal setups
- Manage GrabFood/GoFood/UberEats grocery & meal configurations
- Handle groceries and household essentials
- Adjust food automation scripts when changing locations
7. Fitness, Sports & Routine Setup
- Find gyms, courts, coaches for tennis/padel/surfing
- Book training sessions and build weekly schedules
- Find sparring partners when needed
- Maintain routine consistency across travel
8. Calendar Management
- Maintain and optimize daily and weekly schedules
- Coordinate sports, work blocks, appointments, travel
- Manage time zones and avoid scheduling conflicts
- Ensure smooth planning during frequent relocations
9. Systems, Automation & Life Operating Manual
- Maintain and improve lifestyle systems:
Daily routines- Location-based scripts
- Travel checklists
- Meal plans
- Community lists
- Keep everything structured in Notion/Sheets
- Continuously optimize and automate daily workflows
10. Ad-hoc Operational Support
- Online purchases, returns, delivery tracking
- Bookings for spa/hotel/services
- Managing subscriptions
- Handling unexpected issues: logistics, emergencies, travel changes
