Administrative and Translation Assistant
Location: Kyiv

HelpAge International (HAI) has been present in Ukraine since 2014 with a total workforce of +250 people including staff and volunteers/contractors. As one of the few International Non-Governmental Organisation’s (INGOs) with an operational presence in Ukraine, we were able to respond quickly to the current Ukraine crisis with initial life-saving activities in the Donetsk and Luhansk Regions and are scaling up assistance in the Central and Western Regions of Ukraine. Our response plan includes cash assistance, food distributions, NFI distribution/ health and dignity kits, WASH, Protection and Mental Health and Psychosocial First Aid.
Duties and responsibilities
- Providing daily translation assistance (online and offline meetings) and support to the entire team
- Translating programme documents, reports and meeting minutes.
- Translation of administrative documents and documents related to the HelpAge organisation.
- Providing support to programme staff in translation services during meetings, training sessions and other situations as needed.
- The programme assistant will assist the country director, senior management, programme managers and other programme staff in their day-to-day administrative activities.
- Scanning project documents and storing them on the appropriate devices.
- Systematising and organising data and information on Share Point.
- Providing logistical support/assistance in the organisation for staff and programme participants.
- Assisting in the organisation of meetings for senior management as needed and upon request.
- Creating meeting minutes, meeting summaries and other written communication materials.

Qualifications
Essential
- Fluency in Ukrainian and English.
- A minimum of one year’s experience in interpretation and translation or a degree in languages specialising in translation.
- Strong interpersonal skills, flexibility, and the ability to work independently as well as collaboratively under tight deadlines and in high-pressure situations.
- Proficiency in modern office software (e.g., Microsoft Office Suite) and familiarity with digital collaboration tools such as Zoom, SharePoint, or AI-assisted translation technologies.
Desirable
- A university degree in fields such as language, law, communication, journalism, public relations, international relations, or a related discipline.
- A good understanding of humanitarian, human rights, or care-related issues.
