Fleet Assistant

Main Duties and Responsibilities:

1. Procurement 
   • Contracting drivers with Service Contract or Private Entrepreneur Status, according to pre-established process
   • Launching procurement for fleet support items (winter tyres, contingency items)
2. Stock Management
   • Monitor the stock levels of all fleet related items and handle distribution to drivers in Kyiv
3. (Transport) Management
   • Receive requests for cars travel within Kyiv
4. Assets and Property Management (including premises)
   • Review the asset follow up for all assets related to fleet (acted cars, radios, satellite) to ensure safe management.
5. Reporting
   • Assisting the country logistics manager and support logistics manager in the consolidation of reports at country level

Experience and skills

Educational Qualifications:

• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field. A Master’s degree or professional certifications in logistics/supply chain management is a plus.

Experience:

• Minimum of 1 months of progressive experience in logistics, procurement, and supply chain management, preferably in the humanitarian or development sector.

Technical Skills:

• Proficiency in using relevant software and systems for logistics management.
• Understanding of vehicle specification and regulations
• Familiarity with relevant logistics and procurement databases and tools.
• Understanding of compliance and adherence to donor procurement and logistics guidelines.
• Knowledge of Ukrainian Labor Law and other relevant regulations.

Soft Skills:

• Exceptional organizational and time-management skills.
• Strong analytical and problem-solving abilities.
• Excellent interpersonal skills, including the ability to work collaboratively in a multicultural environment.
• Ability to lead and manage a diverse team effectively.
• High level of integrity, confidentiality, and attention to detail.
• Excellent written and verbal communication skills in English; knowledge of other languages is an advantage.

Additional Requirements:

• Flexibility and willingness to travel and work in challenging and insecure environments.
• Commitment to humanitarian principles and understanding of humanitarian operations.
