POSITION OVERVIEW
UHARP Junior Administration Assosiate will support the UHARP team in Dnipro on office and facilities administration including housekeeping, maintenance, supply stocking, inventory, booking accommodation for staff and guests, assisting with logistics of events and workshops, coordinating mailing services and all other facilities related needs. The employee is responsible to ensure the good functioning and administration of office and facilities and to support staff in their office activities.
KEY RESPONSIBILITIES AND DELIVERABLES
- Assist in overseeing cleanliness and upkeep of the properties. Keeps office/ reception area in an orderly appearance and functioning manner.
- Ensure continuous and effective support is provided on of the properties located in Dnipro and Zaporizhzhia including regular maintenance scheduling, and prompt addressing of any issues that arise.
- Liaise with the /building management company for any issues related to the offices and guest houses. Coordinate and oversee repairs with external contractors and vendors as well as relocation activities as needed.
- Help maintain furniture inventory, verify, and tag office furniture and admin equipment and ensure all furniture items are in good shape.
- Prepare inventory levels of office supply cabinets and kitchen supplies, notifying the Admin Manager in a timely manner. Replenish stock consumables as needed and requested.
- Update inventory trackers on a regular basis and develop documentation as needed.
- Receive and distribute incoming mailing and coordinate outgoing mail, including courier services, postage meter account, and interoffice mail distribution.
- Participate in arranging trainings, presentations, workshops, conferences, and others as requested as well as background materials for them.
- May provide additional support to foreign visitors
- Receive and ensure completeness of invoices and their supporting documentation for payments.
- Any other duties as assigned by your supervisor.
DESIRED QUALIFICATIONS
- Bachelor's Degree or its International Equivalent in economics, administration, IT, international relations, law, communications, or another relevant academic program affairs.
- Typically requires 1-3 years in project management, clerical, or administrative assistance.
- Desired prior work experience in a non-governmental organization (NGO), United Nations (UN) or government agency, charity or related industry experience in a relevant technical area.
- Familiarity with MS Office software (Word, Excel, PowerPoint, Outlook, Teams and etc.).
- Ability to lift/move up to 5 lbs.
- Readiness to have short business trips at program sites.
- Fluent in Ukrainian
- Some English ability strongly preferred.
