Polish Humanitarian Action (PAH) is currently looking for HR Coordinator to support the whole HR process.

About PAH:

Polish Humanitarian Action (PAH) is an international non-governmental organization which since 1992 has been providing humanitarian and development help worldwide. So far, the interventions have been carried out in 46 different countries. By possessing long-standing expertise in the implementation of projects in Water, Sanitation and Hygiene, Food Security and Livelihoods, as well as Nutrition and Education, PAH concentrates its global activities on ensuring sustainable and stable development of regions suffering from the consequences of armed conflicts, natural disasters and other humanitarian crises.

PAH has been present in Ukraine since August 2014 delivering humanitarian aid to the most vulnerable of the conflict-affected population. PAH provides assistance to internally displaced people, elderly and single mothers, working in the sectors of food security protection and livelihoods. PAH Ukraine is currently expanding programming from humanitarian to both early recovery and development-oriented interventions that provide sustainable livelihoods opportunities to the affected population.

 Key Duties and Responsibilities:

  • Keeping records of the organization's personnel and established personnel documentation.
  • Registration of hiring, transfer and dismissal of employees in accordance with labor legislation, regulations, instructions and orders of the head of the organization, including in the software package BAS.
  • Submission of information about employed persons to the state authorities.
  • Entering information about employees' personal data/changing them into the software package BAS.
  • Formation and maintenance of employees' personal files, making changes to them related to employment.
  • Filling, keeping records and storing employment record books in accordance with the instructions for maintaining employment record books. 
  • Development and writing of job descriptions, providing advisory and methodological support on this matter;
  • Issuance of certificates of actual and past employment of employees, registration of other certificates upon request.
  • Registration and keeping records of vacations for employees, monitoring the preparation and observance of vacation schedules, including in the BAS software package.
  • Registration of sick leave certificates and preparation of draft protocols of the Social Insurance Commission.
  • Cooperation with government agencies (submission of statutory reports, correspondence, etc.)
  • Preparation of documents for storage
  • Preparation of information documentation for the accounting department.
  • Preparation of necessary documentation for internal/external audit requests.
  • Participation in work to create a favorable organizational and psychological climate, the formation of corporate culture in the team, and the resolution of conflict situations.

  • Familiarization of employees with the internal labor regulations, job descriptions and other personnel documents against signature 

Must be knowledgeable with:

  • Labor legislation, legislative and regulatory acts
  • Methodological materials on accounting and movement of personnel.
  • Standards of the unified system of record keeping, organizational and administrative documentation.
  • Current legislation on hiring, transferring, and dismissing employees.
  • the procedure for taking into account the peculiarities of the movement of personnel and the preparation of the established reporting.
  • The procedure for maintaining a database of the company's personnel.

 Skills and abilities:

  • Ability to analyze and clearly systematize information.
  • Ability to work with a large number of documents and information.
  • Experience with the BAS program
  • Experience with the MeDOC program.
  • Experience with electronic document management programs.
  • Experienced MS Office user (Word, Excel, Power Point, etc.).

 HR Coordinator will be selected based on the qualification requirements described below:

  • Higher professional education in the relevant field of study (master’s degree, specialist);
  • Professional experience of more than 5 years
  • At least 2 years of work experience in international or local NGO;
  • Excellent verbal and written communication skills in English (is a must) and Ukrainian;
  • Understanding of international humanitarian work;
  • Good interpersonal skills;
  • Good organizational skills and discretion with confidential information;
  • Proven ability to handle challenging workload;
  • Ability to work independently and proactively.
