ZOA is an international humanitarian organization, based in the Netherlands, providing emergency relief to people who are affected by conflicts and natural disasters. In 2022, ZOA is operating in 12 countries.
In March 2022, ZOA started an emergency program in Ukraine for Internally Displaced Persons, in Zakarpattia Oblast, providing Multi-Purpose Cash assistance. Currently, ZOA operates in northern Ukraine (Chernihiv and Sumy regions) and southern Ukraine (Mykolaiv and Kherson regions), providing cash assistance to affected and vulnerable populations in the Shelter and Livelihood Sectors, as well as Multi-Purpose Cash Assistance.
Objective of the position
The Admin and Finance Officer will be a full-time employee of ZOA Ukraine.
The Admin and Finance Officer performs a variety of accounting functions, such as maintaining accurate and timely accounting records for all financial transactions, completing and searching for accurate supporting documentation for all financial transactions, managing cash and debit card payments, local purchases and office maintenance.

Tasks, responsibilities and expected results
Admin responsibilities:
- Organising the daily work of the ZOA office in Kyiv: ensuring order, availability of necessary materials and equipment.
- Maintaining and storing office documentation. Scanning, archiving and structured storage of documents.
- Supporting the team in administrative and organisational matters.
- Carrying out local purchases for office and programme needs.
- Coordinating document delivery, interacting with contractors and service providers.
- Assisting with document translation as needed.
- Registering and processing purchase requests in the system (ERP) in accordance with organisational procedures.
Financial responsibilities (supporting the finance team) :
- Checking the completeness of expense documents and their compliance with ZOA policies.
- Entering financial data into the system, timely registration of invoices.
- Preparing documents for payment and checking the accuracy of details.
- Maintaining and controlling petty cash and corporate debit cards.
- Ensuring the availability of supporting documents for all financial transactions.
- Assisting in the preparation of documents for audit.
Competencies
Knowledge & Experience
- Bachelor's degree in business administration, preferably in accounting.
- Minimum 1-2 years of experience in finance and administration.
- Good command of English (preferable) and Ukrainian, both spoken and written.
- Computer literacy with good knowledge of Microsoft Excel, Word and Outlook.
- Experience working with various accounting programmes.
