Assignment
The Logistics Assistant at ACTED is a supporting role responsible for overseeing and managing various aspects of logistics operations within the mission. The individual will be responsible for supporting the logistics department in the Sumy region, most particularly for transportation and accommodation within Ukraine, according to pre-existing processes.
Main Duties and Responsibilities:
- Procurement Planning and Supply Chain Management
- Enhance existing procedures to align with international best practices, donor requirements, and audit findings.
- Facilitate information exchange with other departments to optimize service delivery and program success.
- Ensure overall compliance with procurement procedures.
- Stock Management
- Maintain accountability for all inventories across the mission.
- Supervise the IN & OUT processes at mission storage facilities.
- Ensure adherence to stock management procedures.
- Fleet and Travel Management
- Supervision of a team of drivers
- Travel planning and managing in the region
- Support with accommodation for staff within Sumy
- Assets and Property Management (including premises)
- Safeguard and optimize the use of all ACTED assets and property within the mission.
- Supervise maintenance and repairs of these resources.
- Ensure overall compliance with assets, property, and premises management procedures.
- Reporting
- Responsible for meeting all reporting requirements within respective sub-departments, country management team, HQ, and donor requirements within the FLATS process.
- Office Management
- Oversee the overall functionality of ACTED offices in the designated area.
Experience and skills
Educational Qualifications:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field. A Master’s degree or professional certifications in logistics/supply chain management is a plus.
Experience:
- Minimum of 6 months of progressive experience in logistics, procurement, and supply chain management, preferably in the humanitarian or development sector.
- Experience in managing logistics operations, including stock management, asset control, fleet management, and IT/telecommunications.
Technical Skills:
- Proficiency in using relevant software and systems for logistics management.
- Proficiency in using Microsoft Office software
- Knowledge of Ukrainian Labor Law and other relevant regulations.
Soft Skills:
- Exceptional organizational and time-management skills.
- Strong analytical and problem-solving abilities.
- Excellent interpersonal skills, including the ability to work collaboratively in a multicultural environment.
- High level of integrity, confidentiality, and attention to detail.
- Good written and verbal communication skills in English;
- Additional Requirements:
- Flexibility and willingness to work in challenging and insecure environments.
- Commitment to humanitarian principles and understanding of humanitarian operations.
