Key Responsibilities:
Booking of Travel:
- Coordinate and arrange travel bookings, including plane, train, and bus tickets, in accordance with the rotation plans of our operational departments.
- Ensure that all travel arrangements align with Company's policies and guidelines.
Invoice Submission and Payment:
- Prepare and submit invoices for payment related to travel services, ensuring accuracy and completeness of documentation.
- Collaborate with the finance team to facilitate timely and accurate payment to travel service providers.
Credit Line Control:
- Monitor and manage the credit line with travel agents, ensuring that bookings and expenses remain within approved limits.
- Address any discrepancies or issues related to credit usage in a timely manner.
Communication with Travel Agents:
- Maintain regular communication with travel agents to ensure the availability of travel options and to address any changes or adjustments required.
- Negotiate favorable terms and rates with travel service providers whenever possible.
Additional Duties Assigned by Commercial Director:
- Undertake other responsibilities as directed by the Commercial Director to support the efficient functioning of the department.
- Adapt to changing priorities and handle tasks with a high level of professionalism and accuracy.
Qualifications:
- High school diploma or equivalent; additional relevant education or certification is a plus.
- Proven experience in travel coordination, administrative support, or a related field.
- Proficiency in English – B2;
- Strong organizational skills and the ability to manage time effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and commitment to accuracy in all tasks.
- Proficiency in using office software, including email, spreadsheets, and word processing applications.
- Ability to work independently and collaboratively within a team environment.
- Adaptability and flexibility to handle a variety of tasks and responsibilities.
