Team Support Specialist performs complex administrative and organizational activities related to the resources of the Pharma BU, including personnel, financial, technical, and material resources. The role is to support the Pharma BU head and all employees of the BU, ensuring compliance with the company’s internal standards.
Main responsibilities:
Supporting commercial teams, coordinating schedules, managing communication between team members, providing administrative support to ensure the sales team operates efficiently and effectively.
Administrative support for congresses organization (local/national) – focal point for event SOP
Administrative support to Pharma Lead (calendar/schedule management, administrative support)
Organization of Pharma cycle meetings
Organization of regional meetings as well as internal GBU meetings (regular/ad-hoc)
Contracts? management: with HCPs and Institutions – contracts with authorities; contracts with payers archiving.
Purchase orders management – manage Purchase orders in system (eBuy)
Records of promo materials and their distribution
Communication among GBUs, data and information management
Ad-hoc tasks which are needed to support GBU effectiveness in scope of operational support
Works in various internal systems/ uploads necessary documents to local authority systems
One CRM support – key user for GBU
E vendor – Support due diligence process for customer engagement managers
About you
Education:
University degree is an advantage
Upper Intermediate English proficiency
Experience:
Previous experience on similar position in an international environment
Experience in events and budget managements
Core knowledge, competencies & skills:
Basic understanding and knowledge of marketing, market access and sales activities, as well as the related tools (CRM, Contract system etc)
Basic legal understanding is a plus for contracts management.
High level of computer skills: Advanced knowledge of MS Word, MS Excel, MS PowerPoint, MS Outlook
Strong organization & documentation processing skills and follow up
Analytical thinking, attitude focused on problem solving, time management and ability to perform multiple tasks ·
Demonstrate a high level of energy and personal responsibility for individual and team goals
Good team worker, able to build relationships within and across matrix departments and functions
Integrity, resilience and adaptability in complex and often changing environment; ability to withstand pressure and meet deadlines and commitments
