We are looking for a Support Services Manager who is experienced enough to be (under the supervision of the Field Coordinator) accountable for the overall management of our Dnipro office support department, including:

  • financial,
  • administrative,
  • legal records,
  • management of the base, as well as the logistics department.

Financial, budgetary and accounting management

  • Accountable for all aspects of finance, including budgetary and accounting elements, including the base cash flow.
  • Participate and validate the preparation of budgets and financial reports, and contribute to external audits if necessary.
  • Supervise all base budgets, proposals, financial reports, monthly accountancy closure, and cash flow forecasts in collaboration with the financial coordinator.

Administrative and legal management

  • Ensure that TGH follows Ukrainian and local laws.
  • Ensure timely salary payment.
  • Ensure all Tax and Pension liabilities are paid to the respective bodies monthly before the due date.
  • Provide specialized training sessions to the Administration team on finance, and logistic procedures.

Logistics

  • Ensure internal and donors' logistic processes and procedures are in place and followed.
  • Accountable for systems that mitigate risks from corruption.

Representation

  • Represent TGH Ukraine in its relations with partners, authorities and different local players in the financial, administrative, legal, logistic, and compliance areas.
  • In collaboration with the Field Coordinator, ensure the link with the interlocutors (donors, banks, suppliers…).

Coordination

  • Ensure with the Program Manager that the coordination with the program team on budget follow up and forecast is taken place regularly.
  • Coordinate financial, administrative and logistic & legal aspect of the base.
  • Ensure the coordination of the support and operational team for the preparation and during the process of audits.
  • Support the finance and logistic officers in their duties and responsibilities.

Expected skills and experience:

  • University degree in Logistics/IT/Economics/Administration/Business Management or any other related subject.
  • Experience working in a similar position.
  • At least 1 year of management experience, leading a team to deliver quality projects
  • Administrative degree
  • Good knowledge of Ukraine’s administrative rules
  • A high level of written and spoken English and Ukrainian
  • Excellent Computer skills
