Logistics assistant

Under Logistics Officer supervision Logistics Assistant is responsible for procurement process, accommodation\transportation management and preparing, managing, filling and storing documentation.

Main duties and responsibilities include:

1. Procurement

1.1. Undertake procurement for Kharkiv base in line with ACTED procurement procedures (Scenario A and B);

1.2. Responsible for compliance with the procurement procedures. 

 2. Stock & assets

2.1. Responsible for inventories in GH;

2.2. Ensure up to date Kharkiv Asset Register.

 3. Transport and delivery

3.1. Undertake transport bookings (buses) for ACTED staff in line with ACTED Procedures;

3.2. Coordinate deliveries from Kharkiv to Vysoke and from Vysoke to Kharkiv;

3.3. Coordinate travel of ACTED staff in Kharkiv area;

3.4. Accountable for the compliance with delivery procedures.

 4. Documentation management

4.1. Prepare, store, and update the external rent agreements for the Kharkiv base.

4.2 Ensure the relevant documentation (receipts, acts of acceptance, signed agreements, etc.) is sent or received as required

 5. Filing and Reporting

5.1. Physical and electronic filing (scanning) of Logistics documentation in line with ACTED procedures.

5.2. Contribute to monthly Logistics  internal reporting

 6. GH management

5.1. Responsible for GH management in Kharkiv base.

5.2. Organize uninterrupted operation of GH (generators, water tanks, etc.)

5.3. Maintenance of GH equipment

Requirements:

• University-level education in relevant field; 
• Excellent computer skills especially in Microsoft Excel, Word, and Outlook;
• Excellent English writing skills;
• Excellent Ukrainian communication skills;
• At least 2 years of experience in logistics role;
• Teamwork and working in a multicultural environment;
• Strong attention to details;
• Prior knowledge of the region;
