MISSION:

The humanitarian aid organization Arzte der Welt e. V. is the German division of the international network Medecins du Monde/Doctors of the World (MdM). The 17 national members of the network implement domestic and international health care projects, currently almost 340 projects in 75 countries around the world.

MdM provides emergency medical aid in disaster and crisis situations, supports access to health care and, if possible, assists with reconstruction measures. The network is also active in risk reduction and preparedness as well as long-term development co-operations in neglected regions around the world that receive little public attention. MdM ensures that its health services are provided equally to the most vulnerable citizens, refugees, internally displaced people and host communities, regardless of their ethnic, social, religious or political background. 

MdM has been operating in Ukraine since 2015, targeting the most vulnerable communities and people by improving access and quality of health care services for the population. Since February 2022 MdM has restructured its setting in Ukraine and adjusted the programme accordingly. Currently MdM GE maintains a coordination office in Dnipro and field offices in Vinnytsia and Kramatorsk. The emergency response in Ukraine is currently implemented around two main components: direct delivery of services through multidisciplinary mobile units (including PHC, SRH, MHPSS and support to GBV survivors) to IDPs and strengthening the local health system through distribution of medicines and medical supplies to several hospitals and primary health care facilities.

 

GEOGRAPHICAL SCOPE OF INTERVENTION:

The Programme Assistant is based in Kramatorsk with some business trips to Dnipro (Country Office).

JOB SUMMARY

Under the supervision of the Project Manager, the Programme Assistant will be responsible for supporting the planning, implementation, tracking, and reporting on regular activities of the programmes of MdM Germany in Kramatorsk. The Programme Assistant will work closely with other departments and stakeholders/partners to ensure that the necessary support for activities is in place.

RESPONSIBILITIES DESCRIPTION: 

Program Planning and Implementation 

° Support is developing weekly and monthly activities plans in line with the requirements of the donors and the Ukrainian legislation, and in coordination with the Project Manager. 

° Follow up the implementation of all programme activities according to relevant plans with the support of the Project Manager. 

° Contribute to track progress against weekly, monthly, and annual plans.  

° Provide accurate and timely updates and reports as needed to Project Manager and Programme Department. 

° Identify challenges and propose solutions to ensure timely and effective implementation of activities with the support of the Project Manager. 

° Support coordination with MEAL staff to plan, implement, analyze, and review the results of Post Distribution/Delivery Monitoring (PDM) activities and other relevant monitoring data on a monthly basis. 

° Support beneficiary accountability and participatory approaches throughout the program cycle with the support of the Project Manager and Programme Department. 

° Contribute to the design of initiatives to monitor or strengthen program quality, including assessments with the support of the Project Manager and Programme Department. 

Documentation and Reporting 

° Contribute to the timely preparation and submission of progress reports, donor reports, project reviews, and any other required project reports. 

° Supporting programming staff in submitting reports to the UN or cluster system including 5Ws. 

° Support basic analysis documentation of program support 

Administrative Support 

° Submit and follow up on requests for support from operations teams, including procurement & supply chain logistics. 

° Schedule and organize and/or assist in activities such as meetings, conferences, workshops, trainings and additional tasks 

° The Programme Assistant works as a team to carry out programming and additional responsibilities will be assigned to achieve the goals of the programmes activities.

REQUIRED QUALIFICATIONS:

Academic background: Bachelor’s degree qualification preferably in administration, social sciences, international relations, law or related area.

REQUIREMENTS:

  • Language requirements: Excellent written and oral communication skills in English. Ukrainian (fluent oral and written)
  • Computer skills: Excellent command of the Microsoft Office programs.

EXPERIENCE:

The successful candidate must have:

  • Minimum 1 year experience in an INGO setting desirable

Fixed term contract with possibility of extension depending on funding
