Planning, Implementing and Reporting
- Manage all incoming and outgoing documentation to CSOs, Maintain high standards of information management and filing
- Day to day supervision of CSOs performance at the area level, with the support of the line manager
- Draft lessons learned and best practises identified from the CSO sub-granting process.
- Supporting the line manager in devising weekly and long-term work plans for the project implementation, particularly or information management activities
- Attending/Organising regular staff coordination meetings
- Excellent liaison with other Team Members, ensuring consistency and coordination of activities
- Timely reporting on problems and challenges while working with partners to the line Manager
- Timely submission of weekly report, information products and updated databases as requested by the line manager, support draft of narrative reports and contribute to the development of financial reports through regular budgetary follow ups
- Communicate systematically to the Partnership Coordinator / Partnership Manager on Grant progress and CSOs documentation & compliance.
- Timely submission of internal reports (weekly, monthly and donor reporting)
- Support to Area Coordinator, the line manager and the Technical Coordinator in identifying areas for improvement and developing strategy
- Supporting AME activities during monitoring and evaluation activities of project implementation and addressing recommendation of AME department to enhance effectiveness of project activities and maximize impacts
- Supporting the line manager in updating the PMF to capture project implementation progresses
- Coordinate with others areas POs, and support if needed, the AME team with planning and implementing monitoring activities.
Logistics:
- Send accurate and precise order forms in a timely manner if requested by the line manager
- Confirm quality of material selection when applicable
- Ensure a proper management and use of the project assets and stocks
- Plan team movements based on available fleet and applicable policies
Finance :
- Support the line manager in reviewing the BFU(s) and provide accurate forecasts
- Support the line manager in forecasting monthly cash requirements of the project and submit to ACHR
- Commitment to continuous learning through trainings and timely identification of capacity-building needs and opportunities, in coordination with line Manager/TC/HR Dept.
Transparency and Compliance
- Ensuring compliance to ACTED internal procedures and donor procedures
- Accurate record keeping of project documentation, including photos and proper filing of meeting minutes, databases, attendance sheets, assessment reports/documents, review and updating of databases etc., in soft and hard copy
Others :
- Perform any additional task as requested by the line manager.

Main duties:

Partner coordination and Service Delivery Monitoring:

- Liaising and coordination with centre managers and focal points to collect information about IDPs` needs;

- Updating and sharing information on humanitarian services to IDPs

Liaison and exaternal communication:

- Organizing regular meetings or phone calls with centre Focal Points/Managers;

- Organizing regular thematic community meetings with residents

- Supporting the operations of Complaint and Feedback Mechanism (CFM) by replying to feedback and requests and bringing to immediate attention of the line maneger serious complaints

- Identifying needs for centre upgrade, adaptation or maintenance works and report them to the line manager.

- Coordination and information Management

- Supporting coordination through reporting to line manager and identification of information gaps

Support in-Kind distribution:

- Coordinate and supervise distribution of in-kind assistance based on needs and compliance to ACTED distribution and transparency procedures;

- Support in managing in kind items in stock, assuring that items and their transportation to centre are adequately planned and timely identify any possible opportunities for supporting the population on base of needs and vulnerabilities with leftover items in stock;

- Working directly with residents' and centre manager or focal points to promote transparency in the distribution of the assistance.

Protection mainstreaming:

- Considering gender, protection, and GBV concerns in all aspects of activities

- Promoting of and adhering to Prevention of Sexual Exploitation and Abuse policy and guidelines (for centre residents, ACTED staff, partner agencies, contractors)

- Supporting the identification of needs of women, youth, people with specific needs

- Ensuring that all centre, upgrade maintenance and infrastructure works are carried out through a vulnerability lens, always considering accessibility to infrastructure and inclusion of people with specific needs
