Founded in 1937, Plan International, Inc. (“PII”) is a development and humanitarian organisation that advances children’s rights and equality for girls. PLAN INTERNATIONAL UKRAINE
Plan International responded to the Ukraine Crisis since March 2022, starting in countries hosting Ukrainian refugees (Moldova, Romania, Poland) and thereafter expanding humanitarian operations inside Ukraine since August 2022. Since October 2022, Plan International has been duly registered in Ukraine as a representative office of Plan International Inc.
ROLE PURPOSE & RESPONSIBILITIES
The Supply Chain Officer will be responsible for overseeing that the office is well-organized and managed. S/he will also support logistic related activities and from time to time drive the Plan vehicle. Duties and responsibilities will include but not be limited to:
1. Procurement Assistance:
• Provide support in executing procurement processes.
• Collaborate with internal teams to ensure seamless coordination of the supply chain process.
• Ensure compliance with company policies and procedures in all supply chain and procurement activities.
• Maintain accurate and up-to-date documentation related to suppliers, contracts, and procurement processes.
2. Order Processing:
• Process purchase requisitions and orders and ensure accurate and timely delivery of goods and services.
• Work closely with internal teams to coordinate procurement needs and delivery schedules.
• Address and resolve any issues related to orders, deliveries, or quality discrepancies.
3. Inventory Oversight:
• Support the management of inventory levels and coordinate with relevant departments to optimize stock levels.
• Assist in implementing inventory control measures to avoid shortages and excess stock.
4. Office Managment:
• Providing new employees of the organization with equipment
• Maintain office supply restocking
• Communicating with vendor including documents exchange
• Coordinate office facility and equipment maintenance
• Ensuring office efficiency
KEY RELATIONSHIPS
Supply Chain Manager, Supply Chain Officer. Plan International Ukraine colleagues in other support functions. Plan International’s Global Hub Procurement. Externally relationships include suppliers and local partner organizations.
Technical expertise, skills and knowledge
- Previous experience in a procurement or supply chain role is preferred.
- Strong organizational skills and attention to detail.
- Ability to communicate effectively with suppliers, internal teams, and management.
- Proficient in using procurement software and Microsoft Office suite.
- Understanding of procurement regulations and best practices.
- Excellent written and spoken English communication skills.
- Bachelor's degree in Supply Chain Management, Business Administration or a related field.
- Strong analytical and problem-solving skills.
- Excellent communication and negotiation abilities.
- Proficient in Microsoft Office Suite and knowledge of supply chain management software.
