Welcome assistant
Organization the Welcome side of events/meetings/seminars, coordinating with the parties concerned.?
Organization Welcome files, ID cards, business cards, supporting the preparation of briefing programmes and tour of the Mission for new arrivals.?
Ensuring meeting staff and guests on arrival and brought to suitable accommodation (hotel, apartment, house).
Participation in organizing pick-up and accommodation (hotel, apartment, house) for staff and guests.?
Assistance to staff with travel (flights / trains / taxis / accommodation…) by the most effective cost.?
Сhecking sure that each electronic Travel Request Form for local staff is duly completed by the individual and approved by their Line manager and F&A Manager before any booking is made.?
Ensuring that travel tickets are booked and purchased in accordance with the ICRC rules and procedures and provides relevant guidance on these rules and procedures when requested?
Controlling, checks and verifies all staff expenses related to Welcome files before submitting to F&A Manager.?
Organization Welcome and Administrative briefings for newcomers and visitors.?
Follows-up administrative registration with the Welcome office in Kyiv (regarding certificates, visas, permits, etc.)?
Keeps all appropriate databases up to date on staff members, missions, and other travel, document validity, residences and other relevant information.?
Organizes Welcome files, business cards, briefings programs and tours of the delegation for new arrivals.
Cashier?
Handling the site`s cash disbursements and payments, including salaries and working advances.?
Preparing invoices for payment (by cash, check or bank transfer).? Controls invoices prior to payments and pays them onсe properly validated by all required responsible staffs.?
Keeping track of staff salary advances and shares the information with HR/Accountants for deduction from salary.?
Carrying out daily cash count and reconciliation.?
Ensuring respect for financial procedures and guidelines explains them to staff.?
Assistance the accountant in compiling, preparing and sending the monthly accounting documents.
ICT
As a part of Global Support provides up to “first level” user support and troubleshooting to site computer users.
If beyond his/her capacity to solve the issue, escalates it to respective KYI ICT Team or to the Service Desk.?
Installs / reinstalls / maintains ICT equipment (computers, printers, NAS drives etc)independently or in consultation with KYI ICT Team.? Conducting regular inspection in Server Room to check equipment status? Managing ICT Pool and stock material.?
Managing ICT “consumables”, provision and replacement: order through normal approval chain? In coordination with KYI ICT department ensures that Field IS inventory is up to date? Reporting of her/his ICT actions to the KYI ICT Team.
