Logistics Officer

Assignment

Under Senior Logistics  Officer  supervision Logistics Officere is responsible for a stock management, procurement process, accommodation/transportation and office management and preparing, managing, filling and storing related documentation.

Main duties and responsibilities include:

I.   Procurement:

1. Undertake procurement for program in the Area of North Ukraine when needed;
2.  Undertake contracting of external services for mission such as translation/legal/taxi/post services etc.;
3.  Undertake procurement procedures for selecting and contracting of partners for IMPACT/REACH assessments;
4.  Undertake procurement for Chernihiv Office/Guest Houses needs in line with ACTED procurement procedures;
5.  Responsible for compliance with the procurement procedures;
6.  Hold and update the Order Follow up; Contract Follow up; Communication report; ATSC screening; Supplier Database, GHG Report.

ІІ.  Stock & assets:

1. Responsible for inventories in Chernihiv;

1.2. Responsible for Chernihiv Asset Register.

ІІІ.   Transport and delivery:

1.  Support AC/BM in Chernihiv GH/Hotel bookings for staff;
2.  Coordinate deliveries to Chernihiv office;
3.  Coordinate travel of ACTED staff in Chernihiv area;
4.  Accountable for the compliance with delivery procedures.
5.  Support accommodation  /transportation of international staff. 

ІV.   IT & Communication:

1.  Focal point for IT questions in the Chernihiv office.

V.  Filing and Reporting:

1.  Physical and electronic filing of Logistics documentation in line with ACTED procedures;
2.  Contribute to monthly country Logistics internal/external reporting;
3.  Assist Audit department in providing contract originals and other supported documentation;
4.  Assist Financial department with the monthly closer documents.

Any other tasks assigned by line manager

Requirements:

• High computer literacy, in particular knowledge of MS Office (Excel and Word).
• Good planning and time management skills, attention to details.
• Fluency in English is an asset.
• Past experience in logistics/admin role is an asset.
• Work experience in NGO is an asset.
