Finance Assistant in non-profit organization
FSD is non-government, neutral, independent organization, with HQ based in Geneva, Switzerland. In Ukraine FSD conducts Mine Action activities which aim to reduce social, economic and ecological impact of mine, ERW contamination.
Purpose of the position:
The Finance Assistant will be responsible for all accounting, financial, administrative activities of FSD Ukraine Charitable Fund
Location:
The Finance Assistant will be based in Kryvyi Rih with a requirement to travel within Ukraine.
Scope:
The Finance Assistant reports Senior Finance Officer and/or to the Program Manager and is responsible for all accounting, finance, administrative matters of the Charitable Fund , including but not limited to the following duties:
To maintain the accounting records according to Ukrainian legal requirements (in the Ukrainian accounting system);
To prepare internal accounting documents in line with Ukrainian legal requirements;
To ensure that primary documents comply with the criteria set by Ukrainian legislation;
To prepare the monthly closing and revision of accounts to National Ukrainian standards;
To prepare and submit all statutory and tax reports;
To monitor the valid Ukrainian legislation to make sure that FSD complies with the valid requirements;
To interact with Ukrainian Tax Authorities on any and all inquiries, audits or inspections;
To facilitate the examination of financial records and external audit when necessary;
To compile all financial documentation for monthly submission to FSD HQ;
To ensure the safeguarding of all funds (cash in vault and cash in bank) and to maintain cash control;
To prepare expenditure projections based on field supervisory staff estimates and request transfer of funding to the project in a timely manner;
To supervise the use of local purchase and other administrative systems implemented by the project and ensure that they are maintained and followed by staff;
To process of personnel documents and HR management;
To liaise with Ukrainian state institutions and/or subcontractors on various issues: amendment to FSD state registration, changes of signatories in banks, international staff residency/work permit applications, humanitarian aid receipt and customs clearance, etc;
To ensure confidentiality of all files (e.g. contracts, budgets, etc.);
Perform other related duties as required by the management team and inform the Program Manager if there are any problems affecting his/her areas of responsibility;
Act as a translator as requested.
Essential Requirements / Qualifications
University qualification in finance, accounting or a related field;
Minimum of 3 years of work experience in the sphere of accounting and finance, preferably with some experience in a similar role in a Charity Fund,
Excellent knowledge of Ukrainian tax legislation and accounting procedures;
Good (upper-intermediate or intermediate) knowledge of English, fluency in Ukrainian and Russian;
Proficient user of 1C 8, M.E.Dok;
Competent with MS Office applications.
