General information about the role of the person:
Finance Officer / Finance Coordinator under the direct supervision and line management of Finance Manager (here below – FM), in close cooperation with Head of Finance and Accounting Department (here below – HoFAD) and performs the responsibilities listed in here below.
Description of general duties:
Acts as a mentor and controller of work quality for team members of the finance and accounting department in matters of working with Implementation Jobs cards in NAVISION and ELO.
Coordinates the work of Finance Officers with contracting documentation
Responsible for timely updating of data in the Projects module in NAVISION regarding the creation of project implementation cards, creation of connections between budget lines of resource cards and implementation cards, addition and regular revision of plans and cost forecasts, etc.
At the request of the line manager and in accordance with her instructions, carries out re-allocation in NAVISION between budget lines;
Assists the manager in the process of preparing documents for audits, donor spot checks, and other requests.
Responsible for the preparation, compilation and submission of financial reporting to the UHF projects, as well as responsible for uploading and archiving such financial statements in ELO and closing the reporting data in the NAVISION system accordingly.
Engaged to cooperation with the Partners, and processing of the partners documentation, in particular:
checking partnership agreements and amending of them, financial annexes to partnership agreements and amendments to them;
verification of partners' budgets at all stages of partnership;
control of completeness and correctness (numerical verification, application of exchange rates, eligibility of expenses based on analysis of accounting records, etc.) of financial reports of partners and accompanying documentation submitted together with reports in accordance with the terms of partnership agreements;
communication with responsible persons of finance partners regarding conclusions in financial reports, and accompanying documentation;
receiving corrected and initially missing documentation;
uploading financial reports and supporting documentation in ELO to partners' report folders when the reports are approved, along with all supporting documentation received from partners;
preparing of Excel tables for import into NAVISION;
increasing the financial capacity of partners by conducting trainings and consultations;
taking part in kick-off meetings with Partners and presentation creation;
taking part in the partnership assessment;
Specific duties and responsibilities (categorized):
scan financial and administrative documentation upon requests; deliver the scans by FTP, email, etc.
upload scans of partnners’ documents through ELO Enterprise to ELO;
prepare PAFs (Payment Approval Forms) for partners’ instalments;
follow Financial Security Rules, especially to maintain confidentiality;
responsible for correctness and completeness of information acquired;
ensure timely and effective implementation of department/ project activities and prompt providing of all relevant information to line manager;
ensure nondisclosure of PIN confidential information and nondisclosure of staff/beneficiaries/other person personal data that he/she obtained in the process of work.
Qualification Criteria:
Education and Speciality
Minimum required education – University degree in Finance, Accounting (obligatory)
3.2. Work Experience in the Speciality:
Finance, Accounting, Audit, Administrative, Compliance work – more than 3 years.
3.3. Required Expertise:
- Basic understanding of Ukrainian legislation;
- Willingness to learn and develop professionally;
- Work experience in the humanitarian context;

- proficient user of Excel, Word;

A competitive salary according to the People in Need salary scale in amount of 1495-2078 EUR Gross (depending on qualifications) on probation period (3% increase after probation)
