Office Manager / Administrative Manager

We are looking for a proactive and highly organized Office Manager / Administrative Manager to take full ownership of day-to-day office operations in our Kyiv location. This person will play a vital role in maintaining a positive work environment, ensuring smooth facility management, supporting global administrative functions, and assisting with corporate event logistics.

Key ResponsibilitiesOffice Management (Kyiv)

  • Ensure a productive, well-organized, and welcoming office environment;
  • Maintain a lively and positive atmosphere in the office;
  • Handle orders, payments, and deliveries for office supplies, kitchen stock, furniture, and consumables;
  • Act as the main liaison with the business center: manage lease-related documentation, coordinate maintenance, parking, access permissions, and landlord communication;
  • Oversee daily facility services, including cleaning, plant care, office equipment, and meeting room setups;
  • Organize seasonal and themed decorations in line with the company calendar or local events;
  • Act as the primary recipient and dispatcher of physical financial documents.

Administrative Support

  • Coordinate international shipments of documents and gifts:
    Prepare, track, and ensure successful delivery,
    Communicate with internal teams and external couriers to meet timelines;
  • Provide ad-hoc remote administrative support for global offices;
  • Support Kyiv-based corporate events (not full ownership): help coordinate logistics, catering, decorations, and guest welcoming;
  • Operate within internal systems such as Salesforce and Jira for tracking tasks and documenting processes;
  • Provide backup support to the Travel Manager during peak seasons or absences, including booking travel, vendor communication, and assisting employees.

Requirements

  • At least 1 year of experience in a similar administrative or office management role;
  • Intermediate English level (written and spoken);
  • Strong skills in Microsoft Office (Outlook, Excel, Word, PowerPoint);
  • Excellent self-organization and time management abilities;
  • Proven multitasking and prioritization skills;
  • Sharp attention to detail and a problem-solving mindset;
  • Confident, reliable, and action-oriented personality;
  • Strong verbal and written communication skills;
  • A true team player with a “can-do” attitude;
  • Demonstrates initiative and ownership to see tasks through to completion
