HR & Admin Assistant (Mykolaiv) - Intranet DCA (emply.com)

The HR and Admin Assistant will ensure smooth flowing of Human Resource and Administration function particularly for Ukrainian staff based in Mykolaiv. Through implementing DCA HR policies and procedures, the HR & Admin Assistant will ensure that all personnel paperwork are handled in accordance with internal policies. The HR & Admin Assistant will provide basic support to the staff and guesthouse management to ensure smooth functioning of the offices, premises and guesthouses.  

Main responsibilities:

  • Participate the recruitment process of local staff in Mykolaiv. 
  • Working with advertisement, candidates documents: CVs, reference checks etc. 
  • Ensure that Mykolaiv office administrative paperwork for onboarding is prepared.
  • Ensure new joiners of Mykolaiv office have all relevant documents upon starting their positions. 
  • Confirm new staff are well informed on timesheet process and procedures.  
  • Verify that personnel files are being maintained to the required level in line with Ukrainian and DCA rules and regulations, including recruitment documents, CVs, contracts, etc.
  • Responsible for tracking annual leave days, and allowances for Mykolaiv based employees.
  • Ensuring all leave days (including sick leave) are recorded and accounted. 
  • Responsible for filling of administrative documents according to DCA standards and local legislation.
  • Responsible for organizing travel and accommodation arrangements, including bus tickets and hotel booking. 
  • Collaborate with Technician staff, incl cleaner
  • Provide support to the staff in meeting administrative and HR needs.
  • Order and distribute Stationary, Kitchen supplies, hygiene materials, water bottles, and other needs of Mykolaiv office.
  • Collect, store, and manage receipts, invoices and other documents associated with the travel, accommodation, and related purchases.

Requirements

  • University degree in Economics, HR, Law, Finance is preferred. 
  • Minimum 1 years of experience in Human Resources function (preferably in a non-government organization). 
  • Good understanding of Ukrainian legislation (labor and civil legislation).
  • Basic in English and Ukrainian, both written and verbal. 

Work related travels are expected in this position.
