WeWorld Background: 

WeWorld is an Italian INGO working across 27 countries globally and a member of ChildFund Alliance (CFA), with extensive experience in implementing multi-sectorial emergency responses (e.g., Syria, Palestine, Haiti, Mali, etc). In Ukraine, WeWorld has been providing multi-sectoral lifesaving assistance since March 2022 in Lvov, Kyiv, Kharkiv, Kherson, Mykolaiv, and Odessa oblasts, as well as in newly liberated areas along the frontline, leveraging existing partnerships and capacity to timely identify and respond to the most urgent humanitarian needs. 

To further strengthen the quality of our programme delivery and our accountability to beneficiaries, WeWorld is seeking one Project Assistant (PA) to support our WASH, SHELTER, and CASH programming primarily in the North-Eastern regions of Ukraine. 

The Project Assistant will be based in WeWorld’s office in Kharkiv with frequent travels to WeWorld’s intervention sites in Kharkiv and potentially Donetsk oblast. S/he will be supervised by the WeWorld Project Officer (PO) also based in Kharkiv. The PA will guarantee adequate monitoring and follow-up of project activities implemented in the North-Eastern part of Ukraine. S/he will assist the Project Officer with administrative tasks, planning, reporting and prject implementation. S/he will also be the focal point for Project Manager and Programme Manager for all administrative and reporting aspects of projects upon agreement with the PO. 

Time frame of the consultancy: 6 months starting ASAP. 

Area of Intervention: based in Kharkiv, with frequent travels within Kharkiv and Donetsk oblast (security allowing), and potential other locations as requested by their line manager.

MANAGEMENT RESPONSIBILITIES

  • Implement and monitor project activities, track the progress of activities, ensure the collecting of program indicators, and provide on-time internal status reports. 
  • Provide supervision, guidance, coordination and monitoring of WeWorld and partner project staff upon agreement with the Project Officer, ensuring clarity over project plans and priorities and encouraging effective teamwork. 
  • Provide timely field activity reports and data in line with WeWorld internal procedures.
  • Participate in regular staff meetings to ensure awareness of project objectives, and opportunity for feedback.
  • Assist with needs assessment in new intervention areas and field trip planning and preparation.
  • Maintain effective and active communication with all the stakeholders. Make sure that relevant and necessary information is transmitted to WeWorld Management Team and colleagues.
  • Ensure partner’s reporting of project activities and indicators is done in a timely manner.
  • Support in post distribution monitoring activities in the field, and other MEAL activities if requested by the line management.
  • Provide timely and accurate data and information, updating the internal tools established within the cluster’s coordination mechanism.
  • Make field visits in the areas of WeWorld’s intervention on a regular basis. 

COORDINATION AND REPRESENTATION

  • Develop and maintain appropriate, regular, transparent, and supportive communication structures with the assigned project staff of WeWorld and the partners, as well as other relevant stakeholders, with the objective of ensuring good cooperation and partnership.
  • Represent the organization with relevant actors and stakeholders in area of operation.
  • Perform any other duty requested by the line manager.

QUALIFICATIONS, EXPERIENCES AND SKILLS REQUIRED

Mandatory:

  • University degree related to the advertised position,
  • Minimum 1 year of experience in a similar position with a national or international NGO, or 2 years of experience in a similar position in other sectors
  • Good knowledge of Microsoft Office package
  • Fluent Ukrainian and Russian 
  • Advanced level of written and spoken English
  • Ability to work under pressure and ability to develop and work within a team 
  • The capacity and willingness to be extremely flexible and accommodating in difficult and sometimes insecure working circumstances
  • Experience of and commitment to working in general humanitarian projects context

Desirable:

  • Experience in humanitarian assistance and/or development aid
  • Knowledge of the United Nations cluster system
  • Experience in Cash Assistance, WASH, Shelter and/or other sectors of humanitarian assistance
