Position Summary

This role will lead the planning, coordination, delivery, documentation, and follow-up of project events and high-level stakeholder engagements, while also supporting selected communications activities that strengthen the project’s visibility and outreach.

The manager will be responsible for managing the full event cycle, including event concepts, agendas, invitations, stakeholder communication, logistical coordination, speaker and participant support, visibility materials, on-site coordination, post-event communication products, and reporting. The role requires close collaboration with project leadership, technical teams, government counterparts, national and regional stakeholders, venues, vendors, designers, photographers/videographers, translators, and other consultants or service providers.

The manager will help ensure that project events and related communication materials are well prepared, clearly documented, aligned with Rehab4U’s objectives and donor branding and marking requirements, and translated into clear follow-up actions, visibility products, and reporting inputs.

This is full time position, office-based  in Kyiv

Travel: Regular business travel across Ukraine will be required to support project events, stakeholder meetings, site visits, and other project-related activities

Expected Duties and Responsibilities  

  • Lead the planning, coordination, and implementation of project events, including forums, workshops, public discussions, site visits, stakeholder consultations, conferences, and high-level meetings.
  • Develop event concepts, agendas, run-of-show documents, timelines, invitee lists, briefing materials, and other planning tools required for effective event delivery.
  • Coordinate communication with national and regional stakeholders, including central government institutions, high-level public authorities, local authorities, partner organizations, and participating institutions.
  • Manage invitations, participant communication, registration processes, confirmations, reminders, and follow-up communication before and after events.
  • Coordinate logistical preparations, including venue arrangements, interpretation, technical equipment, travel and accommodation needs, catering, accessibility considerations, procurement inputs, and administrative documentation.
  • Work with technical and program teams to translate project objectives and subject-matter priorities into clear event formats, session flows, discussion topics, speaker briefs, and participant materials.
  • Coordinate speakers, moderators, panelists, project representatives, government counterparts, and partners to ensure timely preparation and smooth event delivery.
  • Provide on-site coordination during events, including schedule management, participant support, coordination with service providers, protocol-sensitive details, troubleshooting, and documentation of key decisions or follow-up points.
  • Oversee the preparation of event-related communication and visibility materials, including announcements, agendas, presentations, speaker notes, talking points, banners, handouts, social media coverage, photo/video briefs, and post-event content.
  • Coordinate designers, photographers, videographers, printers, venues, translators, and other vendors or consultants involved in event preparation, production, and follow-up.
  • Ensure that event materials, visibility products, and public-facing content comply with donor branding, marking, visibility, and internal approval requirements.
  • Maintain event documentation, including attendance records, photo and video records, agendas, and materials needed for internal and donor reporting.
  • Prepare post-event summaries, reporting inputs, follow-up notes.
  • Support selected communications tasks related to events and project visibility.
  • Contribute to communication planning and editorial calendaring to ensure timely promotion, coverage, and follow-up of project events and milestones.

Minimum Qualifications and Experience

  • At least 5 years of progressively responsible professional experience in event management, project coordination, external relations, communications, public relations, international cooperation, or related fields.
  • Higher education in communications, public relations, public administration, international relations, social sciences, or another relevant discipline.
  • Proven experience organizing and coordinating high-level events, forums, workshops, conferences, stakeholder meetings, site visits, or public-facing activities.
  • Demonstrated experience communicating and coordinating with central government institutions, high-level public authorities, local authorities, and other public-sector stakeholders.
  • Strong ability to manage the full event cycle, including planning, preparation, logistics, coordination, delivery, documentation, reporting, and follow-up.
  • Experience preparing event and communication materials, such as agendas, invitations, participant lists, briefing notes, talking points, presentations, post-event summaries, and visibility products.
  • Excellent writing, editing, and proofreading skills in Ukrainian and English, with the ability to adapt content for different audiences, formats, and levels of formality.
  • Practical experience coordinating with vendors, venues, designers, photographers, videographers, translators, consultants, and cross-functional teams.
  • Strong organizational skills, sound judgment, attention to detail, and the ability to manage multiple priorities, deadlines, and stakeholders in parallel.
  • Ability to gather, verify, synthesize, and present information from technical teams and partners in a clear and accurate way.
  • Experience working in donor-funded projects, international development, public administration, public health, rehabilitation, social policy, or related sectors will be a strong advantage.
  • Good understanding of stakeholder engagement in Ukraine’s public sector and familiarity with government coordination processes will be an asset.
  • Familiarity with design, presentation, and content tools such as Canva, Microsoft PowerPoint, Adobe Photoshop, or similar platforms will be an asset.
  • Full professional proficiency in Ukrainian and English, both written and spoken.
