General office management ( financial, administrative and logistical management ) of the lviv representative office of the german red cross., provision of additional support to all areas of activity of the ncrc in ukraine through the exchange of knowledge/experience of the procedures of the ncrc in ukraine, some proposals for adaptation based on contextual changes., referral to logistics management regarding the arrival of new international employees, including visa requirements, transportation, accommodation and briefing
Special tasks:
A. Finances
Operations with petty cash
Responsible for all aspects of petty cash in all currencies EUR, UAH, ensuring compliance of all processes with the requirements of the GRC, NCRC and donors. This includes:
1. Facilitating proper authorization and documentation of all receipts and disbursements of petty cash
2. Control of petty cash balances in the office and informing about the need for timely replenishment of petty cash
3. Keeping the necessary financial monitoring documents
4. Weekly counting of cash and reconciliation of journal balances
5. Checking the correctness of financial codes before booking transactions
6. Assists the financial delegate in the month closing process and cooperation.
Working advances
7. Timely provision and monitoring of work advances to office employees without delays
8. Calculating, agreeing and consulting the staff regarding the outstanding amount of the advance
9. Informing the finance delegate of any pending work advance that requires his action to resolve the issue
10. Verification of accounts receivable reports received from the national society, preparation of comments, if any, recording in the background
Administration
1. To coordinate and manage the organization of travel (transportation/accommodation) for staff and visitors of the NCC in Ukraine, ensuring compliance with the rules of the NCC and documentation standards
2. Accompanying any administrative requirements prior to arrival, including the delegates' visa application
3. Provide "welcome services" for new employees and visitors to Ukraine, including accommodation, exchange of briefing documents, travel and transport, telephone and familiarization with administrative policies
4. Conducting cultural briefings
5. Ensure proper functioning, equipment, cleaning and maintenance of the office; including processing invoices and orders and payments
6. Ensure the availability of office supplies and other consumables for the office
7. Support planning and organization of meetings, seminars and events, including minutes
8. Administration and support of contracts for GRC facilities in Lviv (apartments, offices) and be a coordinator for communication with landlords
9. Support of the program manager, operational coordinator and head of the security office in Lviv and in the country, monitoring trends, news and informing about relevant changes/news
10. Improving the qualifications of the project assistant so that he can provide financial, administrative and logistical support during his absence
C. Logistics management (if necessary)
1. Support the NCRC delegates on local and international procurement services, in order to ensure the provision of logistics services in accordance with the GRC procedures, such as ensuring local supply, timely delivery, quality of goods and services, local market research
2. To be the procurement coordinator for the Lviv office, organizing/drafting CAPT (Comparative Analysis of Tender Proposals), applications, contracts and monitoring the supply process in accordance with the logistical and financial standards and requirements of the NCRC
3. Preparation and control of travel plans, communication with drivers
