Facility management :

-Collecting information and data around the area of duties to provide the informative database of population to enable projects going smoothly.

- Liaison with local authorities and officials to facilitate organizational and operational activitues in the area of intervention

-Ensure logistics and secutiry support to projects activitues in in fields, working closely with EORE, MHPSS, Health programmes

-Conclude Lease contracts under laws and regulations in Ukraine

- Ensure that all facilities (bases, office, guest house) are equipped with (emergency kits, first iad kits, fire extinguishers, portable power stations, generators and other items which serve for safety and security reason)

- Draw up documenting for regular payment (rent, utilities, repairs) to keep facilities going.

- Contracts management related to office activities, technical maintenance.

Fleet management :

- Lay out movement plans (city, interbase movements

-Ensure that all vehicles are equipped with security items accordingly.

-Conducting check up for fleet of vehicles from security and technical sides.

-Prepare monthly reports on fuel usage, log books, log movements.

-Prepare car accident report by communicating with car rental, insurance, police services.

Supply management:

- Searching for potential vendors and conduct market analysis

- Carry out procurement processes at all levels by working with LINK platform

- Ensure the procurement request is done from the requesting stage (under contracts or SPO from suppliers) till delivery to the request or or put in stock

-Calling for RFQ, prepare SBA, making SSF

-Do an inventory of stock and warehousing on a monthly basis.

Team management:

- Run searching and interview processes for new candidates.

- Conduct a briefing for newcomers with engaging trainings.

Setting objectives and do quarterly performance appraisal of subordinates keep them updated on the actual procedures and policies of the organization.

Facility management:

- Acting in emergency situations as a senior security focal point on the bases, ensuring the safety and security of staff and visitors

-Acting as the sucirity focal point in the field (bases on the assigned territory Kherson and Mykolaiv region)

-Participating in safety and security trainings related to the emergency situations (Such as flooding, nuclear and radioactive hazard, massive shelling, first aid help)

Ensure livelihood of bases on the responsible area (Kryvyi Rih, Mykolaiv, Kherson)

- Build and maintain relationships with local communities and authorities, to ensure the smooth implementation of project activities.

-Make lease contracts with house owner/landlords to locate bases (accommodation of personnel and equipment)

- Preparation of payment documentation for organization facilities, utilities on time ( according to the contract agreement)

-Equip with all safe and strategic kits (trauma, contingency, first aid kit)

- Planning and Scheduling of national and international visitors to base (badges, visibility, PPE- personal protection equipment, satellite phones.

Base management:

- Ensure all bases have strategic and emergency kits to meet safety protocols.

- Get in touch with contractors to repair and maintain conditions of facilities.

- Maintain stock control of equipment and assets of the organization and prepare reports on inventory on a regular basis.

Emergency management:

-Participating in solving emergency situations (such as flooding in

Kherson region) by working collaborativly with partners, other NGO, local government bodies,

- Do procurement for water storage and Sanitation for affected areas

- Assisting International WatSan specialist to provide effective solutions to water supply

- Ensure transportation of goods for company clients

-Negotiate with clients and conclude contracts

-Supervise driver team

-Prepare documents for payments.
