Administrative Officer
Role Purpose and Context
The Administrative Officer plays a pivotal role in supporting the operational efficiency of the Ministry of Economy's Mine Action Office Team "Demine Ukraine", ensuring seamless coordination of administrative, logistical, and organizational tasks. This role is ideal for a detail-oriented individual who thrives in a collaborative environment and enjoys managing diverse responsibilities. By handling key administrative functions and ensuring smooth communication, the Administrative Officer enables the team to focus on achieving its goals effectively.
Key Responsibilities
Administrative and Logistical Support:
- Coordinate necessary transportation arrangements for team members.
- Provide support for organizing events, meetings, and workshops.
- Oversee and maintain the smooth operation of the office environment.
- Manage and support team correspondence, schedules, and work arrangements.
- Draft meeting minutes, protocols, and dissemination lists as required.
Coordination and Collaboration:
- Assist with administration and coordination across platforms such as Slack, Workspaces, and other similar tools.
- Collaborate closely with team members to ensure efficient workflows and timely task completion.
- Support team members with compiling and formatting reports.
Website and Communication Support:
- Assist with the maintenance and updates of the Demine Ukraine websites.
- Ensure effective communication by supporting the drafting and distribution of emails and other correspondences.
Other Responsibilities:
- Provide ad-hoc administrative and operational support to meet the evolving needs of the team.
Desired Skills and Qualifications
Essential Skills:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills, both in English and Ukrainian.
- High level of attention to detail and ability to meet deadlines.
- Proficiency in drafting meeting notes, reports, and formal documentation.
Qualifications and Experience:
- Previous experience in administrative or coordination roles is required.
- Experience working in humanitarian, non-profit, or similar sectors is a plus.
Language Requirements:
- Ukrainian – Native.
- English – Proficient (B2 or higher).
Tools and Software:
- Proficient using Google Suite (Docs, Sheets, Drive), Slack, Work Section and Microsoft Office.
- Familiarity with website maintenance tools is an advantage.

Work Environment & Additional Information
