Momentum Wheels for Humanity seeks a Program Coordinator to provide support for implementing activities for MWH programs in Ukraine designed to strengthen capacity for providing assistive technology and rehabilitation services. The Program Coordinator shall support implementation of Momentum’s programs in Ukraine designed to strengthen capacity for the provision of rehabilitation services relevant to the war in Ukraine. The Program Coordinator will coordinate, oversee, and support, and monitor Momentum’s programming, building on ongoing country programs and accomplishments. Additionally, the Program Coordinator will support on reporting, and collaborate with the Country Director on collecting information on programs implementation status and overseeing programs work plans and timelines.

Expected Duties and Responsibilities  

Reporting to the Country Director, the Ukraine Program Coordinator shall assume the following specific responsibilities for the length of the employment:

Support program activities implementation.

  • Oversee projects and activities in a timely manner and in compliance with donor-approved work plans, organizational policies and procedures, and national and international standards.
  • Ensure proper planning and coordination of activities in compliance with donor-approved work plans, policies and procures, and national/international standards
  • Liaise with the technical team to prepare activity plans and budgets and communicate the planning schedule to relevant program and operational staff
  • Assign logistics and procurement tasks; review prepared vendor contracts, Purchase Orders, Goods Received Notes, and other procurement documentation . Approve documentation up to the established threshold
  • Liaise with local authorities and donor and partner agencies as requested by the Country Director
  • Review travel documentation for in-country travel, including airfare, ground transportation, and accommodations as needed. Ensure appropriate signatures are obtained and that documentation is saved to Box.
  • Support program recruitment: identify recruitment needs, develop onboarding agenda and materials; interview candidates as needed.. 
  • Ensure proper planning of projects related activities.
  • Work with finance, technical, and operations staff to procure program supplies within program budgets.
  • Attend coordination meetings relevant to programs.

Coordinate logistics for trainings and events and provide support for project procurements  

  • Coordinate organizing trainings and other in-country activities, including identification of appropriate venues and preparation of required materials
  • Align on procurements for upcoming month, define priorities and develop execution plan
  • Prepare monthly funds requests based on the team ‘s planned activities, business trips and procurements 
  • Oversee preparation of agendas, participant lists, meeting minutes, and communication or other materials for events as required
  • Support sourcing and procurement of project supplies as needed and in line with donor rules and regulations and MWH policies and procedures. Ensure procurement documentation is organized in Box
  • Record and report details to MWH on the program’s procurements and trainings 

Document and report on Ukraine project activities

  • Lead project reviews with country staff to document best practices and lessons learned, adjust strategies and implementation plans, inform future programming initiative and approaches, and contribute to organizational learning
  • Lead development of monthly/quarterly reports; liaise with technical team to collect inputs, consolidate and edit reports for Country Director review  
  • Regularly update Country Director and MWH HQ on program implementation progress against work plan and indicators, suggesting necessary adjustments and addressing evolving issues
  • Support monthly, quarterly, and/or ad hoc donor and internal reports, ensuring that reporting is accurate and timely
  • Coordinate with MEAL and technical staff on reporting objectives, indicators, and outcomes across projects
  • Consolidate, contribute to, and review technical inputs for contractually obligated donor reports and project deliverables
  • Prepare annual donor reports, send to the Country Director for review and approval
  • Provide information/responses to ad hoc reporting requests from donors or HQ as needed
  • Participate in MWH Ukraine team meetings

Minimum Qualifications

  • Bachelor’s degree in International Development, Public Health, Business Administration, Project Management, or a related field. A Master’s degree is preferred.   
  • At least 3-5 years of experience in coordinating or managing programs in international development, humanitarian assistance, or health-related projects.  
  • Experience working with USAID or other international donors, with a solid understanding of donor compliance and reporting requirements.  
  • Proven experience in planning, implementing, and monitoring project activities, including procurement, logistics, and event coordination.  
  • Strong project management and organizational skills, with the ability to oversee multiple activities simultaneously and meet deadlines.  
  • Excellent written and verbal communication skills, with experience in preparing reports, coordinating with stakeholders, and conducting meetings.  
  • Proficiency in using project management tools and software, including Microsoft Office Suite and online document management systems (e.g., Box).  
  • Strong interpersonal skills, with the ability to work collaboratively with diverse teams and maintain positive relationships with partners, local authorities, and donors.   
  • Ability to adapt to evolving project needs and propose necessary adjustments to implementation plans.  
  • Fluency in English and Ukrainian is required.  
  • Willingness to travel within Ukraine for project-related activities and events.  
  • Demonstrated commitment to Momentum Wheels for Humanity’s mission to improve access to rehabilitation and assistive technology services.
