Executive Personal Assistant for CEO

Type of work: Hybrid (please be ready to work in the office and remotely)

The ideal candidate will have one of the following locations:  Lutsk or Lviv

We are looking for a highly organized, proactive, and reliable Personal Executive Assistant to support the CEO in managing day-to-day operations, communication, and strategic priorities.
This role requires excellent communication skills, a high level of discretion, and the ability to handle multiple tasks with professionalism and attention to detail.

You will act as a trusted partner to the CEO, helping to manage their schedule, correspondence, and coordination with both internal teams and external stakeholders.

Key Responsibilities

  • Manage and prioritize the CEO’s daily schedule, meetings, and appointments.

  • Handle correspondence on behalf of the CEO (emails, messages).

  • Anticipate the CEO’s needs, ensuring he has the resources for effective decision-making.

  • Coordinate travel arrangements, itineraries, and logistics for business trips.

  • Assist in managing confidential and sensitive information with integrity.

  • Support the CEO in communication with partners, clients, and company teams.

  • Keep track of key deadlines, follow-ups, and priorities.

  • Help with planing and organizing company events, executive meetings, and internal calls.

  • Handle administrative tasks efficiently and proactively suggest process improvements.

  • Act as a key liaison between the CEO and senior leaders, clients, and stakeholders

  • Prepare reports, presentations, and other documents as required

  • Assist in the coordination of key projects and initiatives

  • Add leverage to our social media posting and management to improve the CEO's brand awareness. 

Requirements

  • 3-5+ years of experience as an Executive or Personal Assistant (preferably supporting C-level executives).

  • Excellent written and spoken English (upper-intermediate or higher).

  • Knowledge of business etiquette and corporate communication standards.

  • Strong organizational and multitasking skills.

  • Proficiency with tools like Google Workspace, Microsoft Office, Slack, Outlook or similar.

  • High level of discretion and professionalism in handling confidential information.

  • Ability to work independently and take ownership of tasks.

  • Strong attention to detail and problem-solving mindset.
