International Charitable Foundation «SOS Children’s Villages» is looking for a professional to join our team at the position of Head of Business Administration

Mission of the position:

The Head of Business Administration plays a key role in managing different administrative and supportive functions of the organization to ensure their smooth and effective work. Optimize workflows, policies, and processes to improve operational efficiency. 

Requirements: 

  • University degree in Economics, Management, Operations, Business development or related fields
  • At least 3 years of experience in a management role
  • Familiarity with different business functions including Legal, Procuremet, IT, Logistics, etc.
  • Executive mindset and ability to think strategically. Understand the Organization’s purpose, objectives, and priorities to proactively anticipate necessary actions
  • Collaborative drive and good team ethic 
  • A focus on impact, as an individual contributor and by guiding the people around you
  • Strong leadership, communication and interpersonal skills, with the ability to liaise with diverse stakeholders
  • Highly organized and detail-oriented, with a focus on delivering high-quality results
  • Excellent organisational and problem solving skills
  • Ability to adapt to changing circumstances, work under pressure and cope with stress
  • Proficiency in English and Ukrainian. 
  • Good proficiency in the use of Microsofr Office (Word, Excel, PowerPoint), email (Outlook) and  online video conferencing tools (MS Teams, Zoom etc.)
  • Sharing the values, aims and objectives of organisation, and commitment to humanitarian principles and international humanitarian standards.

Main responsibilities:

  • Contributes into coordination of efforts and processes within the NA, necessary to timely and properly implement tasks and objectives set by the National Director, Board, IO.
  • Upon necessity represents the NA in front of external clients, participating in partnership-building activities.
  • Participates in the planning process held by the National Management Team and other key staff. Supports efficient communication between the Board and the NA, participates in preparation of NA reports for the Board and/or other external clients.
  • Conducts data analysis to support top-level decision-making and improve operational efficiency.
  • Ensures timely and proper risk assessment is performed and regularly updated; ensures the mitigation measures are taken.
  • Participates in developing new and amending existing policies and procedures to ensure better and more efficient achievement of objectives and tasks set.
  • Ensures the processes in his/her sphere of responsibility comply with the binding policies, standards and recommendations of auditing entities/International office, seeks for continuous improvement and optimization. 
  • Approves the terms of references for procurement (tender announcements), decisions made by the tender committee, participates in procurement procedures, approves payments (invoices).
  • Participates in budget planning according to the organization`s needs.
  • Ensures work processes are efficient and operate accordingly within all respective functions as well as effecitve collaboration amoung all SOS CV actors and stakeholders.
  • Supervises the assigned functions to foster a productive and compliant work environment.
  • Identify opportunities for continuous improvement in business processes, technology integration, and employee performance.
  • Participates in the recruitment of respective team members and supports in their on-boarding process.
  • Holds regular reviews and performance appraisal with team members to assess performance, and identifies areas for development.
  • Responsible within own area of work to prevent and protect children of all forms of abuse, abandonment, exploitation, violence and discrimination based on SOS Child and Youth Safeguarding Policy and Regulation principles, as well as adult safeguarding and asset protection.
